Description
Position Summary:
The Payroll Specialist will ensure accurate processing and recording of company payroll, provide timely and accurate financial information; and participate in daily data entry payroll processing. Payroll Specialist will also oversee the Payroll Coordinator role.
Scope and Responsibilities:
• Perform daily payroll department operations; (i.e. payroll hours for employees, cut checks correctly, prepare checks timely, etc.).
• Manage workflow to ensure all payroll transactions are processed accurately and timely.
• Ensure employees payroll processing is in compliance with federal and state laws.
• Assist in payroll accounting functions, transactions, reporting, stop payments and other operations.
• Process garnishment calculations and compliance.
• Load import files from all companies received.
• Review payroll reports and timesheets for corrections before payroll transactions.
• Ensure all payroll is processed accurately and timely.
• Oversee salary changes, compensation, deductions, bonus, vacation payouts and benefits for employees.
• Assist with tax calculations and filing activities as per IRS, federal and state laws; understand proper taxation of employer paid benefits.
• Respond to payroll inquiries in a timely manner.
• Analyze payroll issues and recommend corrective actions.
• Maintain payroll systems up to date and accurateness.
• Maintain employee payroll records and timesheet data for future references.
• Set-up payroll arrangements for new hires and terminate ex-employee profiles.
• Effectively integrate all payroll processing and time keeping software to complete payroll.
• Perform compliance for unclaimed property payroll checks.
• Process accurate and timely year-end reporting when necessary (i.e. W-2, etc.).
• Protect organization’s value by keeping information confidential.
• Update job knowledge by participating in educational opportunities.
• Perform other job tasks as assigned.
Qualifications:
• 10-key by touch
• Knowledge of mathematical principles, data entry skills
• Computer applications with strong knowledge working with Excel
• Excellent written and verbal communication skills
• Strong organizational skills
• Attention to detail, accuracy, analyzing information
• Ability to multi-task
• Ability to follow-up on pending issues
• Ability to meet deadlines
• Customer service techniques, practices and principles
• Ability to prioritize job assignments, Multi-Task
Education/Experience:
• High school diploma/GED, college degree preferred
• Minimum 5 years experience in processing payroll
• Working knowledge of payroll best practices
Physical Demands:
• Finger dexterity sufficient to complete paperwork activities and to use a computer.
• Visual acuity sufficient to read written materials, to complete paperwork activities and computer work
