Office Assistant
The Office Assistant is responsible for overall office administrative and logistic duties to include: general upkeep and safety of office areas, break rooms and common areas. Assists in internal office moves and providing help for company Events, Meetings and Conferences. Assists company executives with calendar scheduling and administrative tasks. Multi-tasking, attention to detail, relationship builder, excellent communicator, confidentiality and integrity are key competencies for this role.
Responsibilities and Duties
• Maintaining the functionality, integrity, safety and cleanliness of a large, downtown multi-suite office space with 100+ employees
• Ensuring effective telephone and mail communications are maintained to a professional and confidential manner.
• To act as the employees’ primary point of contact for office-related questions and queries.
• Responsible for all office conference room and meeting calendars ensuring availability, catering, IT support and other necessary arrangements are in place.
• Serve as the primary point of contact for most vendors and for office-related maintenance and improvements (cleaning crew, general contractor, building supervisor, etc.)
• Walk the office space multiple times a day to seek out issues, to initiate conversations with employees to seek out ways to improve the office and office environment.
• Schedule routine maintenance and testing for office supplies, hardware and kitchen appliances and function
• Stock and maintain office snack bar and beverage bar within budget
Primary duty to ensure that the Owners private matters, calendars, travel arrangements, and ad hoc business requirements are executed. To include all legal paperwork, working with other law firms, and law professionals.
Additional Responsibilities
• Assisting the CPO in the planning and logistics for on-site and off-site events to include, leadership events, training events, parties and all related employee engagement events.
• Assist in planning and executing multiple annual employee events (lunches, dinners, happy hours, celebrations and annual charity fundraisers and annual holiday party)
• Help Office Manager compile and maintain a working document of office/admin processes, procedures and protocols
• Ensure constant cleanliness of Launch That office kitchen, breakroom and conference room, including wiping down and keeping tables, sinks, refrigerators and countertops clean
• Address all employee complaints by solving issues or pushing issues up to the CPO
• Maintain Intranet listings of employee birthdays and calendar of events
• Administer some company accounts (Uber, Juice bikes, etc.)
• Update and maintain all company related licensing
• Maintain office emergency contact list and text-message list
• Assist in business travel arrangement as needed or requested for all staff and some personal travel for owners and executives
• Provide as needed admin support such as business licensing, office supplies, office cleaning, etc., for sister companies and other ventures
• Work with IT to ensure all staff are fulfilled with needed equipment and other hardware and office supply needs
• Maintain office-related records and files
• Perform other duties and responsibilities as directed
Qualifications and Requirements
• Two or more years of related work experience with progressive office management responsibilities
• Working knowledge of office equipment (copiers, printers, fax machines) and equipment supplies
• A desire to work as a partner/teammate with all others in the organization with a service mentality, supporting the company in all activities as required
• Work as needed a varied schedule that could include nights, weekends and holidays
• Proficient in Google applications, MS Word and Excel
• Excellent written, phone and face-to-face communication skills
• Self-confident and energetic
• Effective interpersonal and human relations skills
• Unquestioned integrity
• An ability to be a self-starter, looking for ways to support, grow and improve continuously
• A strong work ethic and a willingness to get your hands dirty when work needs to get done
• Strong organizational skills and a talent for prioritizing
• Ability to problem-solve, make decisions and meet deadlines
• Be technically savvy and be able to use apps and software for communicating emergencies and other office functions
• An ability to communicate truthful and difficult news to upper management if, and when, necessary
• Ability to self-manage, drive initiatives and execute tasks to completion
• Willingness to collaborate with others in the office
• Willingness to embrace change
Preferred Qualifications
• Degree from a two- or four-year college or university in business, administration, management
• Certified Notary
• Previous experience working with large teams of people
• Ability to write professional documents and correspondence
