OVERVIEW OF THE COMPANY20th Century Fox
One of the world's largest producers and distributors of motion pictures, 20th Century Fox Film (TCFF) produces, acquires and distributes motion pictures throughout the world. These motion pictures are produced or acquired by the following units of 20th Century Fox Film: Twentieth Century Fox, Fox 2000 Pictures, Fox Searchlight Pictures, Fox International Productions, and Twentieth Century Fox Animation. During fiscal 2017, TCFF placed 25 motion pictures in general release in the United States. The motion pictures produced and/or distributed by TCFF in the United States and international territories in fiscal 2017 included Hidden Figures, Logan, Jackie, and The Boss Baby. TCFF has released or currently plans to release approximately 23 motion pictures in the United States in fiscal 2018.
JOB DESCRIPTION
Role: Property Management Systems Administrator
Definition
The Property Management Systems Administrator is responsible for the daily administration of the Studios CAFM system (Computer Aided Facility Management), specifically FM Systems. This system manages 1.3 million sf of office space consisting of over 5000 spaces of various types (office, stage, production, support, etc.) within 106 buildings spread over 52 acres.
Responsibilities:
• Primary job function is maintaining daily operations of the Studio Facility/Property Management system (FM Systems), including, but not limited to the following:
◦ Move/space management
◦ Reservations management
◦ Rent/lease administration (billing, from multiple sources)
◦ Track employee movement (transfers, terminations, new hires)
◦ Forecasting
◦ Space planning
◦ Report generation (various formats)
◦ Provide office space quotes to clients
◦ Administer asset management program
◦ Facilities maintenance tracking
◦ Client web portal administration
◦ Work with IT to plan and coordinate patches, upgrades and changes to the CAFM system. Also participate in development efforts in a pre-production release environment
• Additional responsibilities may be assigned as follows:
◦ On Lot parking operations
◦ Daily in-house move scheduling
◦ Furniture inventory
◦ Phones, computer, audio visual, artwork and other client and tenant requests as needed
• Act as the primary liaison with clients, management, employees and vendors for all rental, leasing, repair and maintenance issues.
• Assist with calculating costs for all rent/lease agreements
• Assist with asset management of all office related items, as well as tracking maintenance and repair of all said items.
• Attend regular planning and staff meetings
• Other duties as assigned.
Abilities:
• Exceptional, professional interpersonal communication skills, verbal and written.
• Ability to understand architectural plans, engineering diagrams, technical systems, financial analyses, lease contract documents, project specifications, proposals and bids.
• Able to work in a database environment and understand relational database concepts.
• Must have excellent math skills and understand advanced accounting functions.
• Be able to conduct meetings and make presentations.
• Must demonstrate the ability to resolve conflicts quickly and professionally under pressure.
• Must be resourceful and solutions oriented, with high level of motivational and organizational skills.
• Must be self-directed and autonomous in performing duties.
• Must respond to unforeseen situations, unplanned events or requests, last minute changes with grace and professionalism.
• Must have outstanding customer service skills with proven ability to successfully navigate through diverse culture and employees at each level and of the company.
• Excellent computer skills
◦ Microsoft Outlook, Word, Excel, Powerpoint, Visio, PeopleSoft, & AdobePro.
◦ CAFM system experience (FM Systems, Archibus, Maximo, Planon, FMX, etc.)
◦ AutoCAD abilities a plus.
Education and Experience:
• Equivalent to a Bachelor’s degree from a recognized college or university with major course work in facility management, business administration or a closely related field and a minimum of 3 years’ experience. Or a minimum of 5 years of facility management experience supporting a large campus, multiple tenant, or production studio operations.
Licenses and Certificates:
• Current IFMA or FM membership a plus
