Job Description
Ubisoft, a global leader in the video games and entertainment software industry, is currently seeking an Office Manager/HR Assistant for our Morrisville, North Carolina Customer Relationship Center. This individual will report to the Manager of Human Resources.
Facility Management Duties:
• Liaise with property management, manage vendor relationships, accurate and timely bill remittance to accounts payable, manage supplies and orders
• Manage events and projects including creative/inventive thinking, pricing, vendor paperwork, on-site visits, acquiring supplies
• Attention to office common areas on schedule/as needed such wiping down conference room tables or kitchen counters, monthly fridge clean out, office ‘spruce up’ efforts.
• Manage onsite beverage and food vendor as well as cleaning equipment daily
• Handle mail and package services
• Greeting guests, employees, candidates and vendors at the front desk
• Guest hosting activities such as hotel arrangements (goodie bag upon arrival), meals/ events
• Manage building access (granting/revoking access) for employees and guests
Human Resources Responsibilities:
• Prepare materials and packets for recruiting, interviewing, benefits, new hire orientation
• Complete onboarding activities as assigned including desk preparation, welcome announcement, facility tour
• HR data entry and employment verifications
• File and organize confidential documents, including creating new employee personnel files
• May assist with light recruiting activities
• Conduct new hire orientations as needed
• Other responsibilities as assigned
Core Hours: Mon-Fri, 8 hours, typically day shift but occasionally other hours may be required based on events (holiday party, hosting guests, etc)
Qualifications
• 2+ years’ experience in an administrative support role
• Ability to manage CONFIDENTIAL information is vital to the role
• Strong organizational skills, attention to detail, and thorough
• Driven and enthusiastic, taking ownership of responsibilities
• Strong MS Office skills including Outlook, Word, Excel, Powerpoint
• Positive disposition demonstrated both verbally and in demeanor
• Reliability. This job requires strong attendance behavior
• Ability to identify and recommend areas for improvement within scope of
responsibility
• Bachelor’s degree in a related field a plus
• Experience in Human Resources a plus
• Experience using an HRIS a plus
