Development Coordinator
General Summary:
This position will report to the SVP of English Language Co-Productions & VP Creative. The primary responsibilities are to support project development by reading and analyzing creative material, presenting feedback and participating on creative conference calls/meetings. Create, edit or translate material (synopsis, scripts, character descriptions, character interrelation, etc.) and presentations for internal or external purposes. Manage the creative submission log to document the flow and status of the material in review. Administer every project’s release form and rejection letter. Train and supervise intern(s). Guide intern(s) through the semester’s project, managing timing and verifying work. Attend meetings and conferences as requested. Coordinate schedules/appointment calendars, travel arrangements, expense reports and answer phones. Also, work on special projects as needed.
Responsibilities:
30 % Project Development:Read and analyze projects being considered or already in development. Participate in creative meetings and conference calls regarding the aforementioned projects. Highlight any inconsistencies found in the provided documents. Present feedback regarding the character’s actions, traits, names and locations and whether these would appeal to the audience being targeted. Subsequent to the meetings, prepare communications with the observations discussed. Support the editing and formatting of creative documents.
30 % Material Preparation/Handling:Create, edit or translate documents (synopsis, scripts, character descriptions, character interrelation, catalogue presentations, charts, surveys, etc.) and presentations for internal or external purposes. Update the Weekly Development Status Report to reflect the current standing. Upload or extract material (documents or video) from digital asset repositories (i.e., CiMedia, Scenecronize or RUNNER) and send out links as needed.
20 % Administration & Other:
• Business Correspondence & Conference Calls /Meetings: Prepare and send dictated letters, memos, faxes or other materials on behalf of SVP and VP. Arrange and schedule meetings/lunches as instructed by SVP and VP. Prepare and assist in the preparation of regularly scheduled or special reports. Collect information needed for conferences reports and projects.
• Travel Arrangements & Expense Reports: Prepare and submit Travel Authorizations, obtain travel itineraries. Confirm reservations, hotel, schedule ground transportation, prepare meeting itineraries, calendars and agendas. Prepare and submit expense reports. Follow-up on payment for reimbursement. Maintain log of submitted reports along with payment detail.
• Talent Filing: File project material and maintain files (pictures, resumes, etc.) for actors, writers or other talent.
• Telephone Calls/Calendar: Answering phones for SVP and VP, making outgoing calls and maintaining calendars.
• Mail Distribution & Filing: Receive incoming mail/faxes addressed to Production and Development and process accordingly. Create and maintain an accurate filing system to include a computer filing system.
• Inter-company Communication: Liaison between regional assistants and local Production team. Maintain open line of communication to address common issues pertaining to Television Conventions Meetings, Sales Meetings, Priority Reports, etc.
• Conference/General Meetings Attendance: Attend staff meetings, ratings meetings (among other meetings) and special events as needed. Participate in creative conference calls with writers, literary editors, production companies or television channels as needed.
• Special Events & Other: Assist with special events such as production meetings, presentations, gifts, etc. Work on multiple projects at the same time. Assist visiting executives as needed.
15 % Project Administration:Manage the creative submission log to document the flow and status of the material in review. Follow up on pending projects. Track all dates (when was the project pitched, when was the release form signed, when was the rejection letter sent, when was the material disposed of etc.) titles, authors and short descriptions of each. Administer every project’s release form and rejection letter or option process and the disposing of it (if applicable).
5 %Intern Management:Train and inform our intern about the office’s basics (how to use the printer, fax, email, phone, mail system), as well as our department’s functions (what is our role in the industry, what projects are we working on, what are our goals, etc.) and the industry in general in order to provide him/her with a learning experience. Guide him/her through the semester’s project, managing his timing and verifying his work. Answer any questions he/she might have.
Knowledge / Skills / Abilities:
Individual must be fluent bilingual English/Spanish in order to communicate with clients via phone and email (Written and Oral). Computers, Filing, Photocopier and Fax operations, General Office Procedures, Business Correspondence.
Skill In:
Time Management, Communication, Prioritization.

Experience:Minimum of 1+ year of TV Content Development experience and 1+ year of administrative experience
Education:Bachelors’ degree required with focus in Journalism or related field.
