Operations Manager
Printed Matter, Inc., the world's leading non-profit dedicated to the distribution, understanding and appreciation of artists' books and related publications, is seeking an Operations Manager. The Operations Manager oversees the systems, operations, annual inventory count, and maintenance of Printed Matter’s facilities. The Operations Manager also supports programming, development, and bookstore staff in facilitating events, exhibitions, and fundraising initiatives. The position is full-time (5 days a week, Monday-Friday) with benefits, and reports to the Executive Director.
Primary Responsibilities
Office Management and Maintenance
-Manage the overall maintenance of Printed Matter’s 11th Avenue storefront, offices, and multiple storage spaces
-Order office, store, event and exhibition supplies
-Identify and coordinate store furniture, display and storage solutions
-Order, maintain and troubleshoot office equipment (computers, printers, photocopiers, scanners, etc.)
-Supervise trash and recycling services
-Manage Printed Matter’s five storage spaces, regularly tracking and organizing inventory, equipment, and supplies (moderate lifting)
-Liaison with facility landlord and manage all service contracts, including HVAC, equipment warranties, and elevator lift
Computers, Website Administration and IT
-Manage website, correct and update content, create new webpages, monitor functionality, and liaise with web development team on troubleshooting and upgrades
-Maintain computers, ensure software is up to date and that staff computer needs are met
-Liaise with IT consultants on computer and software maintenance and troubleshooting
Systems and Processes
-Maintain thorough and up to date knowledge of Printed Matter’s inventory management and point of sale system, Erply, and monitor its upkeep, troubleshoot, and provide support to staff
-Oversee the maintenance, organization and cataloguing of Printed Matter’s institutional archive
-Manage Printed Matter’s file server, upload institutional files, and reinforce digital archive procedures with staff
Programming, Fair and Sales Support
-Support Programming Coordinator by supervising the installation and deinstallation of onsite exhibitions (approx. 10 a year) and by managing shipments of Printed Matter publications
-Maintain systems for selling inventory related to exhibition and events, liasoning with sales and programming staff
-Provide as needed support when Printed Matter participates in domestic and international art book fairs, occasionally staffing booths, art handling, conducting sales, etc.
-Provide as needed support to bookstore sales staff during events or other busy times
HR Support and Staffing
-Manage staffing schedules for a wide variety of projects and events, from creating a staff plan for the Printed Matter booth at our NY and LA Art Book Fairs, to creating staff plans for exhibition installation and deinstallation
-Support new employee and intern orientation, training new hires in systems and processes
-Manage the intern program, with support of HR coordinator, acting as a liaison between staff and interns and identifying and managing long-term intern projects
-Schedule distribution/store staff coverage when necessary in support of the Bookstore Manager
Annual Inventory
-Manage all stages of annual inventory count—a month long undertaking—from hiring and training temp workers to discrepancy reconciliation and creation of final inventory reports
Required Qualifications
-Passion for Printed Matter’s mission
-Proven interest in contemporary art and artists’ books
-A minimum of 2 years professional experience in an office setting, nonprofit preferred
-Excellent organizational skills with great attention to detail
-Strong communication skills and ability to work in a team setting
-Prior experience building systems and procedures
-Ability to multi-task, problem-solve, work well under pressure and meet deadlines
-Experience with point of sale or inventory management software
-Basic web development and coding skills (preferred)
-Experience with web content management systems (preferred)
-Proficiency in Microsoft Office, including Excel
-Ability to perform art handling duties (e.g. painting and preparing walls, hanging framed works)
-Ability to lift 30 lbs.
