Description
An established contemporary artist is seeking an experienced and enthusiastic Operations Manager. The ideal candidate will thrive in a fast-paced, purposeful and creative environment, and will take pride in providing systematic and adaptable solutions to the complex operations and administration demands of a contemporary art studio.
The Operations Manger will coordinate between Artist, Studio Director, studio staff and all third parties (fabricators, vendors, galleries, museums) to administer all daily operations of the studio, including: artwork production tasks and schedules, exhibition planning, project management, artwork inventory upkeep, Artist’s communications and scheduling, building maintenance and budgets. S/he will work closely with Artist and Studio Director to develop and implement strategic plans, and will initiate and oversee systematic approaches to standard studio processes.
The ideal candidate will have knowledge of and interest in contemporary art. Excellent written and verbal communication skills are required, along with meticulous attention to detail.
Duties and responsibilities include (but are not limited to):
• Coordinate multiple short and long-term project, production and appointment calendars between Artist, Studio Director, studio staff and all third parties (fabricators, vendors, galleries, museums etc.)
• Oversee implementation of artwork production schedules, in partnership with Studio Director and production staff
• Maintain artwork inventory database
• Assume management of the studio in Studio Director’s absence
• Generate and maintain project budgets
• Liaise between Artist and galleries, in partnership with Studio Director
• Execute and manage invoicing and bill payment
• Establish, develop and maintain filing systems
• Generate invoices, loan forms and consignment agreements between the studio and all third parties
• Review and prioritize Artist's emails, and respond when appropriate
• Manage phone calls and respond on Artist and studio’s behalf when appropriate
• Coordinate travel for Artist (transportation, accommodations and itineraries)
• Professional and personal errands for Artist
Qualifications:
• 4+ years experience in a related role (Operations Manager, Administrative Assistant, Executive Assistant, Registrar) within an artist’s studio, gallery or museum
• Excellent time management skills and ability to multi-task and prioritize work
• Creative and efficient approach to administrative tasks
• Professional, friendly and capable demeanor
• Must be able to work independently and anticipate the needs of a busy artist and studio
• Outstanding attention to detail
• Excellent written and oral communication skills
• Highly developed Mac OS/IT proficiency
• Advanced knowledge of spreadsheet composition and customization
• Ability to work in a fast-paced and highly collaborative environment
• Bachelor's Degree or higher preferred
