Description
WhiteBox is a 501c3 non-profit art space with a prestigious history of exhibiting cutting-edge interdisciplinary art. We are currently seeking a qualified administrator to manage its day-to-day operations, available 3-4 days per week. The ideal candidate is highly motivated, organized, and detail-oriented, with a desire to build a career in arts administration. Must have the ability to work both independently and collaboratively in a fast-paced creative office environment. Excellent oral and written communication skills are essential; candidate should be comfortable interacting with members of the public as well as board members and VIPs.
About WhiteBox:
WhiteBox is a non-profit art space that serves as a platform for contemporary artists to develop and showcase new site-specific work, and is a laboratory for unique commissions, exhibitions, special events, salon series, and arts education programs. WhiteBox also offers free and diverse programs for the surrounding communities including Chinatown, the Lower East Side.
Responsibilities
• Provide general clerical assistance and support office organization
• Independently manage a small office, including interns, volunteers, and preparators and
other independent contractors
• Maintain paper and digital records of all organization and exhibition-related files and
documentation
• Assist director with scheduling and communication as needed, in concert with the Assistant to the Director
• Manage bills, exhibition budgets, and expenses
• Maintain a calendar for the organization and its Director, including exhibition schedules, meetings, and grant deadlines
• Arrange shipments for incoming and outgoing artworks and maintain loan files
• Daily maintenance and staffing of exhibitions
• Assist with event production and planning, as needed
• Organize quarterly board meetings and take minutes
Qualifications
• Positive, can-do attitude and ability to work collaboratively with others
• Prior experience in administration preferred, preferably within the arts, academia, or non-profit sectors
• Proficiency with Microsoft Office and Google Drive. Knowledge of Adobe Creative Suite, Wordpress, and QuickBooks a plus.
• Excellent written and verbal communication skills. Experience with grant writing a plus.
• Knowledge of contemporary art and art world preferred
