Description
Julie Hillman Design, an interior design company on the UES, is seeking a full-time Personal Assistant for the company’s Owner & President. This position is available immediately.
We are looking for a highly organized candidate who will thrive in a very fast-paced creative environment. The candidate will be responsible for administrative and personal work supporting the President of the company. Candidate must be comfortable working in a small office and excel at multi-tasking.
Key Responsibilities include, but are not limited to:
• Scheduling appointments.
• Making travel arrangements.
• Running errands (both business related and personal).
• Maintaining the organization of the President’s office & desk.
• Maintaining the President’s busy calendar.
• Scheduling office meetings and preparing the meeting space appropriately for visitors.
• Answering the door, announcing visitors to office staff, and welcoming visitors.
• Answering incoming calls at a busy, multi-line front desk.
Position Requirements:
• Meticulous organizational skills.
• Ability to multi-task in a very fast paced environment while maintaining high attention to detail & accuracy.
• Ability to prioritize shifting duties/tasks throughout the day.
• Strong follow-up skills.
• Excellent personal presentation and written/verbal skills.
• Being a self-starter who is able to take initiative & ownership of duties given.
• Proficiency with Microsoft Word and Outlook.
Plus, but not required:
• Previous experience working at an interior design firm, art gallery, architecture firm, furniture/antique store or similar work environment.
• Previous experience working as an assistant to a company executive.
• Familiarity with Apple products.
This candidate will need to be flexible in managing a wide variety of tasks across the scope of the office, have a basic understanding of working within a growing office, and the ability to multi-task. This position requires a candidate with excellent organizational and communication skills, who can balance office duties with personal assistant duties. Accuracy and attention to detail is key in this position.
