Description
Seeking to fill an administrative position for a Boutique Fine & Decorative Arts Appraisal and Advisory Firm.
This position is responsible for managing the administration for all of Art Peritus’s network of clients and projects and provide centralized support for the office. The administrator will act as a liason on behalf of the company with clients, specialists, conservators, and fine art transport teams.
This role requires some familiarity of the appraisal business but is not required. The administrator will act in a crucial project-management capacity and must have a close eye for detail, deadlines and excellent written and oral communication. The administrator responsibilities will be in direct support to the founder of the company, as well as the head of business development and project management.
Day to day tasks would include:
Professional and consistent written and oral communication with clients and specialists
Coordinating on-site inspections for specialists and clients
Creating and maintaining client files, contracts, and inventories
Creating quotes and agreements for review and approval
Creating Appraisal reports and invoices
Building up and maintaining client database
Building and maintaining Social Media presence
Work on special projects as requested by the founder of the company
Some personal assistance in day-to-day activities for the founder of the company.
Proficient in:
Mac Based Word formatting, Excel, Adobe, FileMaker (a plus, not required)
We are looking for an individual who can multi-task and organize a (sometimes high) volume of sensitive information coming from multiple clients in various forms and formats. An individual who has strong client service skills and can follow up and successfully communicate with clients, specialists, institutions, conservators and shippers. Some out of office, “on site” work may be part of the job. A close attention to detail and formatting of reports and documents is a must. Must love dogs.
