Description
Summary:
This Assistant will support the SVP, Director of Scientific Research and the work of the Scientific Research department.
Responsibilities:
• Help manage communication (email and telephone) and schedule – in coordination with the Public Relations, Legal, and specialist departments
• Provide administrative support to the SVP, Director of Scientific Research, including but not limited to answering phone calls, organizing meetings, maintaining Outlook calendar, arranging travel, and processing expense reports on a consistent basis.
• Complete equipment and supplies orders, including maintaining correspondence with vendors
• Coordinate examination schedules and movement of property with specialist departments
• Track department metrics including requests, projects, and expenses
• Organize, research and assemble technical library of materials and techniques
• Communicate and collaborate with London Scientific Research colleagues
• Adept at handling sensitive and confidential information in a discreet and professional fashion
• Skilful ability to interact in a professional and mature style with key constituents
• Flexibility to meet the constant demands and requirements of the role
• Ability to show good judgement and constantly be on point in representing the Sotheby’s brand, the department and the SVP, Director of Scientific Research
• Strong skill set in wording communications, drafting reports and presentations
Qualifications:
• Team oriented fast learner dedicated to a continued growth, improvement and innovation
• Ability to manage multiple assignments and competing priorities in a fast-paced environment with emphasis on meticulous attention to details
• Ability to provide impartial, meaningful feedback in a timely manner, and keeping leadership informed of progress and issues
• Thorough working experience with corporate governance, SAP, CAT, and Concur
• Excellent critical thinking abilities, problem solving and follow up skills
• Exemplary interpersonal and communication skills to foster positive working relationship with a broad variety of clients, internal and external staff at all levels
• Academic research skills including ILL, Google Scholar, and Google Patent
• Proficiency with Outlook, Word, Excel, PowerPoint, and Photoshop is a plus
• Art history, conservation, hard science degree or experience is a plus
