Job Summary
The Director of Finance will be responsible for the museum’s accounting practices including day-to-day management of the accounting/finance function, the maintenance of financial records, and the preparation and interpretation of financial reports for management and external groups. This position will develop and maintain a financial model which forecasts (and subsequently tracks) the museum’s cash inflows and outflows as the organization embarks upon a multi-year capital campaign to fund the recently completed Master Plan, in addition to annual operations. The Director of Finance will support Chinati’s mission and values by demonstrating excellence, collaboration, respect, and accountability in her/his work and behavior. S/he will report to the museum Director and will supervise a full-time controller and bookkeeper.
Major Job Responsibilities
Accounting & Financial Reporting
• Oversight of day-to-day accounting, using QuickBooks Online
• Supervise the bookkeeper, who is responsible for all data entry into the accounting system
• Supervise the controller, who is responsible for reviewing all data entry and prepares financial reports
• Proper implementation of GAAP for non-profits, especially accounting for restricted assets
• Prepare 12-month rolling cash flow forecasts, on a monthly basis
• Approve all payroll transactions before submission to Paychex for processing
• Ensure the general ledger is maintained on an accrual basis at all times
• Provide monthly budget reports and financial statements for the Director and the Finance Committee
• Provide and interpret financial information and written reports for the Board of Trustees, Investment and Audit Committees and other department heads
• Serve as the staff liaison to the Finance and Investment Committee and the Audit and Risk Committee of the Board of Trustees
Forecasting & Modeling
• Build and maintain a financial model which forecasts cash inflows and outflows for a 5-year outlook
• Review the levels of temporary restricted assets for cash flow purposes on a regular basis
Grant Budgets & Reporting
• Work closely with the Development team and other staff to prepare grant budgets and monitor progress toward those budgets
• Ensure that expenditures are consistently aligned with the grant guidelines
• Assist the Development team with interim and final grant reporting as requested
Budgeting
• Work with the Director and department heads to prepare the annual operating budget
• Monitor progress toward the operating budget, advise the Director and/or department heads on corrective actions when appropriate
• Develop project budgets for programs and projects which are outside the scope of annual operations, and monitor progress toward those budgets
• Assess cost allocation methodologies
Audit & Regulatory Compliance
• Oversee annual financial statement audit
• Oversee preparation and review of Form 990
• Oversee preparation and review of all state regulatory filings
• Review internal control procedures and implement best practices
Qualifications
• Bachelor’s or Master’s degree in accounting
• 5-7 years non-profit accounting experience (or equivalent)
• Fluency with US Not-for-Profit GAAP
• Proficiency with QuickBooks Online and Paychex online payroll system
• Active CPA licensure is preferred
• Strong attention to detail
• Demonstrated ability and interest in strategic thinking
• Prior management experience
• Ability to work respectfully and productively across departments and to develop effective working relationships with Board of Trustees, donors, vendors, and visitors
• Interest in learning new skills and participating in new projects
• Ability to handle and maintain confidential information
• Must have excellent work habits, including a willingness to work the hours necessary to get the job done especially when important deadlines cause greater than normal departmental pressures
• Must be prepared to work evenings and some weekend hours on occasion
• Museum experience a plus, but not a requirement
The Chinati Foundation is a contemporary art museum founded by the artist Donald Judd (1928-1994) in the small, remote community of Marfa, Texas. Chinati occupies 34 buildings on 340 acres of a former military base called Fort D.A. Russell, amid the austere beauty of the Chihuahuan Desert. Here, as Judd intended, the interplay of art, architecture and the land form a cohesive whole, where the isolation and openness of the country and the presence of the sky enhance the experience of the museum and its works. The museum’s collection includes permanent installations by artists Carl Andre, Ingólfur Arnarsson, John Chamberlain, Dan Flavin, Donald Judd, Roni Horn, Ilya Kabakov, Richard Long, Claes Oldenburg and Coosje van Bruggen, David Rabinowitch, and John Wesley. In addition, a new permanent installation by Robert Irwin opened to the public in July 2016.
The museum's annual operating budget is $2.7 million, and capacity has grown at an annual rate of 7-10% over the last five years. In 2016, the museum successfully completed a two-year $5 million campaign for Robert Irwin’s permanent installation, untitled (dawn to dusk). Significant support is received from individuals and foundations including the Andrew W. Mellon Foundation, Brown Foundation, Lannan Foundation, Still Water Foundation, Hearst Foundations, Horace W. Goldsmith Foundation, National Endowment for the Arts, and the Texas Commission on the Arts.
In 2017 Chinati completed a master plan for the conservation, restoration, maintenance, and development of the museum’s entire collection and complex of 34 buildings situated on 340 acres of high desert grassland
The Chinati Foundation organizes special exhibitions, which either focus on aspects of the work of artists represented in the permanent collection or feature the work of artists linked to Judd’s interests. The museum also sponsors arts and education programs, including artists’ residencies, college and university internships, children's art classes, symposia (the proceedings of which are published), seminars, performances, concerts and an annual open house celebration in October. The museum publishes an award-winning annual newsletter, which chronicles its activities and has become one of the most respected publications of its kind in America. Attendance continues its 30% annual growth rate. In 2017, Chinati welcomed over 40,000 visitors.
