Position Overview: Provide direct support to head of IMG Media and fulfill all the general functions of an assistant as well as hold an active role in servicing Media clients and maintaining involvement in the day to day workings of the North American Media office.
Qualifications/Requirements:
• Bachelor’s Degree
• Must be an excellent multi-tasker and have proven problem-solving abilities
• Demonstrates accuracy and thoroughness in execution of assigned tasks
• Friendly and open demeanor with ability to maintain confidentiality at all times
• Ability to adapt to changes and work in a fast paced, demanding environment
• Dependable and proactive. Able to prioritize the workload and use time efficiently
• Ideal candidate is resourceful, sharp, committed and has a positive can-do attitude
• Ability to handle multiple deadline and priorities
• Must have 1-2 years of experience
• High proficiency in Microsoft Office a must. Proficiency in Adobe Creative Suite a plus
• While there are many assistant duties including scheduling and phones, the position allows for much autonomy.
• Ability to work overtime on weeknights as needed
Essential Responsibilities:
• Answer phones, take messages, update phone sheets
• Maintain complex executive calendar of meetings, continually update schedule throughout the day according to priority – requires judicial time management
• Monitor correspondence: email preview – scan and prioritize email for executive, proactively alert executive of important items and respond on her behalf
• Manage outgoing postal mail, overnight express, and messenger services for executive
• Coordinate travel, compile itineraries
• Organize business meetings (internal and external), reservations, ordering catering and prepare conference room
• Maintain filing system, organize executive’s desk
• Facilitate resolution of technology issues with IT
• Submit expense reports
• Create presentation materials and sponsorship decks for IMG programming clients and partners
• Organize mailings, client holiday cards and gifts
• Fulfill research requests, organize programming and distribution data
• Assist sales effort: distribute programming materials and updates to broadcasters on executive's behalf, monitor network responses, organize follow-ups
• Manage media requests for interviews, answer all inquiries received via IMG Worldwide website
• Collaborate with Corporate Communications to fact check and edit press releases
• Document phone calls and take notes on critical rights negotiations
• Work with finance to reconcile billing/invoice queries, and questions regarding payment schedules
• Track new business proposals
• Follow-up with clients and partners as appropriate, ensure proper attention is given to all clients: guide executive’s attention to pressing action items daily
• Coordinate staff meetings, birthday celebrations and team events
• Coordinate complex itineraries for clients and partners attending IMG Sales Conference, Sportel, or other IMG Media related events
• Manage print and email subscriptions to industry trades/journals/research newsletters for IMG Media team.
