Description
Asymptote Architecture, an internationally acclaimed architecture and design firm, seeks a part-time Administrative Assistant to help with daily office activities. Asymptote's interests range from innovative museum, exhibition, multimedia and graphic design projects, to furniture and product design. The ideal candidate must have a Bachelor’s degree, be proactive, possess highly developed organizational skills, excellent attention to detail and strong communications skills. Archival experience, and Photoshop a plus.
Responsibilities include, but are not limited to:
Answer phones, manage incoming/outgoing mail, maintain office calendar
Order office supplies and maintain office supply inventory; take the lead on care and maintenance of office equipment and furnishings
Assist in managing vendor relationships; Coordinate and/or troubleshoot repairs with IT and other office equipment repair consultants
Maintain general office order and cleanliness; enforcing office procedures and protocols
Administrative support, including but not limited to: data entry, shipping, filing, copying, faxing, scanning, updating contact lists, software and membership tracking,
Perform routine errands such as, submitting bank deposits, petty cash withdrawals, pastries for meetings, etc.
In addition to the day-to-day operations of the office, the Administrative Assistant will provide substantial support for ongoing, long-term projects, such as updating and maintaining the archive. The successful candidate will have previous experience in archiving, along with the following:
The creation and maintenance of computer archives and databases
Organization and classification of archival records (digital and physical)
Strong Adobe CC skills required for creation of digital copies of materials
Finding and acquiring new materials for the archive
Requirements:
Bachelors preferred, and 2+ years of relevant receptionist work in a creative environment
Outstanding time management and organizational skills
Proficiency in MS Office (Outlook, Word, Excel), and Adobe Creative Suite
Excellent attention to detail and a high level of accuracy
Able to work in a professional manner and handle confidential information with discretion
Salary: $15-18 an hour, commensurate with ability and experience. Position available immediately. Candidate MUST be available to work a minimum of 25 hours a week with some flexibility to work additional hours as needed.
