The Membership Department is part of the Local Development Division, which enables the WGBH Educational Foundation to carry out its mission by raising necessary funds from individuals for current program support and special projects for TV, Radio, and the Web. The Membership Department oversees fundraising and relationship building through direct mail, telemarketing, and email solicitations for WGBH TV and Radio, WCAI Radio, WGBY TV/Springfield and other client stations.
Position Overview
The Office Support Assistant position will assist the membership team in the administrative tasks of all marketing initiatives, working closely with the team to ensure we reach our overall budget goals for WGBH and MSB Client stations. This is an entry level marketing position with exposure to multifaceted areas of our foundation.
Essential Functions:
• Coordinate & monitor all aspects of cost control for timely execution of direct mail and telemarketing campaigns for WGBH, WGBY, WCAI and other client stations.
• Coordinate financial brief creation and invoice/purchase order tracking, expense report tracking, and inventory tracking.
• Coordinate & assist the Telemarketing program with outside agencies for WGBH, WGBY, WCAI and other client stations.
• Assist in the generation of regular performance reports for telemarketing.
• Assist the Membership Marketing Manager in maintaining all legal and compliance reporting
• Maintain updated documentation on all processes related to these project areas.
• Address client inquiries via case system
• Create mail merged documents in MicroSoft Word; sign, stuff letters and mail envelopes for our Leadership Circle Acknowledgements
• Misc. administrative tasks as assigned: including campaign creation, lockbox file uploads and QC, attendance of internal / vendor meetings
Skills Required
The ability to work in a fast-paced environment overseeing multiple projects simultaneously while meeting deadlines is essential, along with proven administrative and organizational skills, attention to detail, and willingness to adapt to changing responsibilities. Knowledge of Microsoft Excel and Microsoft Word is essential.
Educational Requirements
Bachelor's degree or equivalent years work experience preferred.
