Job Summary:
This role will provide assistance to the VP of Human Resources and the overall HR department that includes core HR, Internal Communications, Talent, Employee Engagement and Environmental Health and Safety. The selected individual will partner with team members across all levels of the organization to gather information, coordinate activities, own and support a variety of processes and reporting. This individual will also have responsibility for writing effective communications to support the HR department. Superior attention to detail, strong writing skills, organizational skills, ability to complete tasks and projects quickly, and react with appropriate urgency to situations that require a quick turnaround.
Core Responsibilities:
• Screens telephone calls, visitors, and letters; answers routine questions and furnishes information.
• Responsible for the coordination and scheduling of internal meetings and presentations; gathers and prepares necessary materials and/or equipment.
• Assures the planning and coordination of the executives calendar of events; schedules appointments and prepares detailed itineraries, complete with travel accommodations, etc.
• Assures the maintenance of travel and expense account and records, including form preparation and figure reconciliation.
• Displays a strong knowledge of desktop tools such as the Microsoft Suite of Office products and electronic mail systems.
• Regular, consistent and punctual attendance. Must be able to work nights and weekends, variable schedule(s) and overtime as necessary.
• Other duties and responsibilities as assigned.
Additional Responsibilities:
• Owns and drives assigned initiatives for the HR department. Collaborates across departments and functions on complex tasks and projects.
• Skilled in tracking, reporting, and communicating (written and verbal) progress and results.
• Understands priorities and proactively looks for ways to improve processes to create efficiency.
• High School or Equivalent
• Generally requires 5-7 years related experience
Preferred Qualifications:
• Strong writing and verbal communications skills.
• Ability to quickly learn various in-house designed tools and systems.
• Ability to think creatively while maintaining a strong attention to detail.
• Ability to build strong partnerships and relationships across the organization.
• Self-driven and able to work with minimal oversight/guidance.
• Ability to develop various tracking and reporting as needed.
• Flexible and able to handle changing priorities.
