Position Overview
Ensure the successful & profitable execution of projects from concept development all the way through to final invoicing. Manage the event crew, operational elements & client’s expectations while on show site. Assist the sales team with Client meetings, presentations and determining event technical requirements. Communicate with all parties involved to collect and disseminate information required for execution. Analyze and coordinate the fulfillment of equipment and labor requirements. Mentor and provide direction to Sales Managers, Project Managers and Senior Technicians regarding event planning and execution. Provide regional technical training and participate in the technical development of Technicians. Maintain key client relationships while executing events or advising on projects.
Key Job Responsibilities
Event and Labor Management
Assist and partner with the sales team in client discovery meetings to help determine equipment needs. Utilize extensive experience and knowledge of all PSAV services to suggest creative and valued-added solutions that increase revenue and are tailored to the customer’s needs. Supervise the creation of CAD documents and renderings that are accurate and convey the intent of the technology. Review all sales documents to confirm that the equipment and technical positions will in fact meet the client’s needs, and that profit forecast assumptions are attainable. Prepare technical production schedules as necessary to coordinate all crew, vendors and deliveries. Supervise and coordinate any required purchase orders, travel requirements, or per diem requests for assigned crewmembers with Branch or Hotel Director. Communicate project scope, execution plan, and individual responsibilities with crew. Operate equipment as necessary. Designate crew leads and review all necessary information to ensure successful event for the client and PSAV.
Event Planning and Execution
Generate schedules & drawings, contact venue to coordinate project including load in / out procedures, power, loading dock permissions, etc. Maintain focus on client needs by attending client meetings, creating and maintaining organized show files, and responding to client concerns, questions, and problems. Review equipment order entry into inventory tracking system (Helios OE2) and coordinate specific equipment that will be reserved & shipped with the Branch or Hotel Team and other PM’s if necessary. Work with regional MLT or Operations Manager on any sub-rentals or equipment substitution that might be required. Review and inspect staged equipment prior to load out and delivery. Coordinate with client to receive authorized signatures and approvals for any on-site additions & changes. Assist sales with reconciling all event costs and help prepare final invoice. Complete final job cost analysis to compare with initial profit model and provide accountability for any deviations from forecast.
Staff Development
Provide technical support, consultation, & guidance to Project Managers, Sales Managers, operations teams, and other regional team members. Advise regional management on standard operating procedures (SOP’s), technical trends & solutions, profit assumptions, quality control, and problem solving. Utilize and mentor regional PSAV Technicians on event execution and best practices to help improve the local knowledge base and overall level of experience in the market. Provide technical assessment, training, & development to regional team members, conducting at least two training sessions each year. Learn about new equipment and services and educate other members of region
Required Skills:
• 4+ years of Project Management experience in Corporate Staging or Broadcast industry
• 8+ years of field experience in the Corporate Staging or Broadcast industry
• Strong written and oral communication skills
• Proven ability to create a positive team environment
• Experience with sales and problem solving
• Strong Client relationship skills
• Strong Technical Background
• Works well under pressure
• Ability to multi task
• MS Office experience required
• CAD knowledge / experience required
• HS Diploma required
• Formal technical training desirable
