JOB DESCRIPTION
Under limited supervision, performs clerical, administrative for the Director of Sales and staff, requiring a thorough knowledge of the department’s policies and practices. Assignments generally involve work of a complex nature that assists supervisor in ensuring the efficient operation of department(s).
DUTIES AND RESPONSIBILITIES
• Answers and screens the Director's and staff’s telephone calls; handles more complex inquiries, takes messages and transfers calls to the appropriate party. Receives and directs visitors; sorts and distributes mail. Maintains departmental files and keeps records.
• Manage databases of all Bulk accounts IE: hotels motels
• Manage databases of all Major accounts IE: Merryl Lynch, Bear Sterns
• Run key reports in cable data IE: Commercial Accounts
• Write Return on investment analysis for approval of Director and VP
• Create processes and procedures for Commercial Sales
• Review and analyze Construction Capital budget
• Run reports in Salesforce.com for Sales Managers of all 70+ Account Executives Communicate with Survey and Design, Outside Plant and Installation in expediting difficult as well as VIP Orders
• Keep organizational charts for the department
• Prepares and proofreads correspondence, reports and other materials. May plan layout of reports and statistical tables. Uses various PC software packages such as spreadsheets, word processing, and graphics to produce high quality reports, presentations, or other documents.
• Acts as liaison between the Regional Sales Manager and his/her direct reports, as well as internal and external contacts. Responds to issues and tasks involving the administrative functions of the office that do not need to be brought to the attention of the Regional Sales Manager. Handles these situations in a timely and efficient manner.
• Coordinates all paperwork necessary for the Regional Sales Manager to approve. This includes, but not limited to, manage over 40 Account Executive’s and Manager’s travel and expense vouchers, personnel requisitions, performance appraisals, personnel action forms (PAF) and authorization payment forms (APF). Follows up with other departments to ensure that requests are carried out and activities are coordinated.
• Responsible for ordering and maintaining office supplies for the department.
• Assists department in special projects as requested by the Vice President.
QUALIFICATIONS
• Three (3) plus years of Administrative experience.
• Proficient knowledge, with proven experience, of Microsoft Office applications
• Strong oral and written communication skills, ability to interact with all levels of management.
• Well organized and detail oriented.
• Ability to work in a fast paced environment.
• Ability to maintain highest degree of confidentiality and diplomacy.
• Must be flexible to work overtime on short notice.
