Description
Soon-to-open KAI Gallery seeks a Business Manager for its SoHo locations. Position is full time, Monday through Friday, 10am to 6pm, plus openings and events as needed. KAI is a new venture being launched by FitzGerald Fine Arts, an established and rapidly growing gallery with other diversified business operations in New York and Beijing. We are looking for a Business Manager to oversee daily accounting & financial operations and to liaise with the China offices. The candidate should have substantial prior experience in business accounting and financial controlling. Open communication and teamwork is essential for working within our dynamic and enthusiastic environment. The opportunity exists to rethink and revamp the company’s weekly, monthly and annual financial reporting and strategic development of numerous enterprises.
Responsibilities:
Accounting/ Finance:
- Oversee and co-ordinate on the preparation of the quarterly and annual financial report for management’s review and analysis
- Assist and co-ordinate with the Director to prepare the annual budget
-Create monthly cash flow reports and profit/ loss statements
-Oversee accounting books for main company and three subsidiaries
-Manage part-time bookkeeper
-Review weekly payments and summarize payments to ownership
-Confirm checking and bank wires/ ACH are processed and deposited
-Review monthly bank reconciliations
-Receive/ enter monthly journal entries from China subsidiary into QuickBooks
-Oversee accounting firm’s processing of 1099’s, 1042’s & W2’s
-Maintain online payment accounts (Online banking, PayPal)
-Oversee quarterly sales tax payments
-Provide project-based Expense Reports
-Ensuring compliance with the firm’s policies and protocol related to the purchasing, receiving, billing and inventory functions and reviewing the accuracy of coding for all purchases
Insurance:
-Manage all Insurance policies & contracts and review/ modify policies & endorsements as needed
-Process insurance claims as needed
-Assist the head of logistics with transit insurance
Human Resources:
-Process semi-monthly payroll/ enroll new employees
-Healthcare/ Dental program management & COBRA
-Maintain HR files on all active employees, contractors, interns
Other:
-Manage daily operations at private offices, 41 Greene Street NYC
-Act as site Information Technology administrator and trouble shooter as needed
-Manage Consignment Agreement contracts with artists, designers, consultants
-Create and manage Sales Invoicing in both ArtBase (inventory database) and QuickBooks
Requirements & Qualifications:
-Bachelor’s Degree: Business Administration and Accounting focus preferred
-At least 3 years of experience as Accountant/ Bookkeeper/ Financial Controller
-Solid understanding of analysis and financial management
-Strong project management experience in Arts or luxury retail and proven ability to partner with and influence others (including senior stakeholders)
-Background in coaching and developing staff
-Expert proficiency in QuickBooks and MS Office (specifically Excel)
-Excellent organizational skills to enable successful management of multiple tasks done in a timely manner within a fast-paced and demanding environment
-Arts background preferred
