Position Overview
We’re on the search for an experienced Executive Assistant to join the Shotgun Team! As Executive Assistant, you’ll provide administrative support to the Shotgun Vice President and other senior-level staff, by acting as a facilitator and liaison. You will perform a wide range of tasks, handle details of a confident and critical nature, while using your experience to proactively address potential problems and ensure an efficiently functioning team. This position will work out of our Venice Beach office in Los Angeles.

Responsibilities
• Manage VP’s calendar, schedule meetings and travel, resolve scheduling conflicts
• Provide meeting support: proactively prepare agendas and meeting materials, record meeting minutes, and coordinate all meeting logistics.
• Make business travel arrangements and manage travel itineraries for the VP
• Generate and submit expense reports, prepare purchase orders, and make purchases on behalf of VP and other senior-level staff.
• Ensure bills are paid on time for various internal services and payment is recorded and submitted
• Create and manage contracts, reports, and other important documents for the team
• Maintain email and distribution lists, shared directories, and other communication channels used internally
• Develop and maintain positive working relationships with staff, internal departments and outside vendors to effectively coordinate activities and collaborate on special projects
• Understand and feel confident using company systems, operations, policies, and procedures and work with the team on related tasks
• Complete other various tasks and special projects as requested
Minimum Qualifications
• 5+ years’ experience providing administrative support
• Ability to work in a fast paced work environment that requires strong multitasking skills, time management, and self-starter mentality
• Willing to adapt to rapidly changing environment and new processes and responsibilities
• Proven ability to work under pressure, communicate effectively, and meet deadlines
• Proficient in Microsoft Office Suite, Google Apps, Mac and Windows operating systems and related business applications
• Excellent oral and written English communication skills
• Team player who is results-oriented with strong interpersonal skills
• Ability travel to events or internal meetings, locally and internationally as needed
