Bids and Contracts Coordinator (Entry Level)
Overall Responsibilities:
• The Bids & Contracts Specialist coordinates state and district bids, in accordance with defined bid process and state/local regulations. The Bids & Contracts Specialist drafts bids utilizing approved product, pricing, and gratis information. The Bids & Contracts Specials coordinates the collection of various documents and materials required, and prepares and assembles the bid materials to ensure accurate and timely delivery to the customer. The Bids & Contracts Specialist must have a basic understanding of the bid process, as well as with HMH policies and procedures.
• The Bids & Contracts Specialist completes assigned activities to contribute to successful submission of bids, as well as other materials for assigned opportunities. Assigned activities may include: creating draft of bid and/or submission pack BOMs, requesting Form B & Form M warranties, researching questions regarding contract terms and pricing, maintaining bid and contract documents, coordinating the collection of other documents or materials required for a bid, assist with final execution of contract documents, recording of contract terms in company databases, i.e, SAP, and archival of executed contracts according to company policy. This is an entry-level position.
• Other projects as assigned.
• Escalate potential problems.
Required:
• 2+ years of experience working with state and/or local bids and resulting contracts.
• Ability to organize, prioritize tasks and meet deadlines.
Preferred:
• Basic understanding of contract law.
• Associate or Bachelor degree.
Physical Requirements:
• Might be in a stationary position for a considerable time (sitting and/or standing).
• The person in this position needs to move about inside the office to access file cabinets, office machinery, etc.
• Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
• Must be able to collaborate with colleagues via face to face, conference calls, and online meetings.
