Job Summary:
The Facilities and Office Manager is responsible for all facility related activities for the Clear Channel Airports Offices. This includes, but is not limited to building issues, vendor management, office design, space planning, furniture and office equipment. The position will also assist in management of all company events in Allentown and Branch offices as needed. This position is the first point of contact with our staff and visitors for office services related issues.
Job Responsibilities:
• Manage all vendor relations (building, cleaning, supplies, security, offsite storage, etc.)
• Purchase and/or oversee office supplies, office furniture, cleaning supplies, kitchen supplies, and office machines (copiers, mail machines, cell phones, business cards, etc.). Work with corporate procurement to negotiate maintenance contracts and agreements, and contact vendors for service or repair. Maintain current catalogs and pricing information.
• Analyze and maintain departmental budgets and operate within budget constraints. Review and approve company overhead account invoices including all office services, offsite storage and building maintenance expenses.
• Develop strategic plan and departmental goals for Office Services to maximize workflow and meet the needs of other departments in the organization. Ensure systems are fully utilized and compatible with organizational design and objectives.
• Ensure proactive safe working environment –OSHA compliant and oversee Emergency Facilities plan.
• Coordinate/communicate with IT where applicable on all issues/projects
• Maintain regular communications with business leads in Allentown office and national branch offices to understand and proactively address their needs as requested.
• Liaise with building/property management. Ensure that all spaces are kept clean and safe on a daily basis; general upkeep and maintenance of all areas is up to date, furniture and fixtures in working order.
• Maintain updated/accurate seating charts and certificates of insurance for office and offsite storage facility
• Assist in management of office renovations and troubleshoot issues with contractors and vendors.
• Maintain ordering and distribution of cell phones and building security fobs.
• Oversee office administration to ensure all employee needs are met regarding office supplies, mail/postage services, maintenance, coffee service/water, etc.
• Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.) and other mail / deliveries. Receives, sorts and routes mail.
• Must be hands-on and capable of adjusting quickly to various issues that might arise within the facility
• Manage and distribute facilities-related communications to staff as needed
• Manage office/kitchen supplies across the facility
• Provide support to visitors as first point of contact.
• Handle requests for meeting coordination including visitor fobs, lunch and beverages as requested.
• Assists and maintains various reports as requested.
• Handles special projects, as requested.
