GENERAL SUMMARY OF DUTIES: Assists in the administration of the Community & Guest Relations Department in a professional and efficient manner.
EXAMPLES OF DUTIES/ESSENTIAL FUNCTIONS: (Includes, but is not limited to the following)
• Maintain complete knowledge of, and comply with, all hotel and departmental policies and use of all office equipment.
• Assume responsibility for general office and clerical duties within the department.
• Handle all incoming calls and relay messages.
• Greet all guests and VIP visitors, both in person and via phone, making quality customer service the number one priority.
• Ensure daily mail and guest comment cards are collected and properly distributed.
• Maintain and update filing systems for both guest recovery letters and donations records.
• Prepare and process guest correspondence and donation requests as directed.
• Follow up daily with Alert Handlers on all assigned alerts from the guest survey reporting systems to ensure response completion and the achievement of guest satisfaction.
• Compile guest survey reports as needed for Managers and Director.
• Prepare guest recovery correspondence as requested, responding to guests concerns quickly and efficiently.
• Respond to positive feedback from guest surveys on the various survey reporting systems.
• Assist in the preparation of donations sponsorship packages and fundraiser event items, providing them with an attractive and professional in appearance.
• Coordinate office supply orders and maintenance service and repairs for office equipment.
• Maintain strict confidentiality and security of all hotel information, reports, correspondence and files that are proprietary or otherwise designated as confidential.
• Learn new software and systems as may be required.
• Maintain general knowledge of hotel services, amenities, hours of operation and current special events.
• Maintain regular, predictable attendance.
• Maintain professional business attire.
• Assume other job related duties as assigned.
Requirements:
PERFORMANCE REQUIREMENTS: (Knowledge, Skills and Abilities) Filing and general office skills. Strong English grammar, spelling, and communication skills. Quality organizational skills. Ability to maintain confidentiality of sensitive information. Understand and comply with all company and departmental rules and regulations, policies and procedures. Work requires use and knowledge of computer equipment; proficiency in Microsoft applications such as Word, Excel and Outlook. Minimum typing speed of 50 wpm. Skill in establishing and maintaining effective working relationships with staff and guests.
EDUCATION AND EXPERIENCE:
Education: High school education or equivalent preferred.
Experience: Previous office/secretarial experience required. Customer service experience preferred; knowledge of hospitality practices a plus. Computer experience required.
Certificate/License: Must be authorized to work in the U.S.
