The Events Marketing Coordinator will be responsible for researching, managing, and coordinating participation at conferences and other events. They will help to maintain up-to-date information within our Customer Relationship Management system (CRM) and assist with general marketing activities. The ideal candidate is detail-oriented, extremely organized, and adept at juggling multiple deadlines and projects. They have experience with event coordination and are a clear and effective communicator who is comfortable collaborating with colleagues in a large global company as well as third-party vendors and organizers.
Main Activities and Responsibilities
Conference Management
Research and maintain updated database of upcoming conferences with relevant information, informed by marketing strategy and input solicited from cross-functional stakeholders; Manage conferences from start to finish, including booking travel and hotels; Order furniture, internet, booth space, A/V and other incidentals for conference exhibitions; Manage conference budget, fulfill invoices, track all expenses, and generate budget reports as needed; Track upcoming conference deadlines and keep shared resources up to date
Marketing Support
Locate contacts at targeted prospect institutions and add to CRM; Complete lists within deadlines, optimizing efficiency with attention to detail; Execute email campaigns through mailing service; Maintain communications calendar; Track success metrics and best practices of marketing campaigns; Support with special projects as needed
Collaboration and Teamwork
Establish credibility and a durable partnership with sales organization as well as other groups to ensure proper execution and tracking of conference logistics, including expense reporting as needed; Collaborate with team as well as sales organization to minimize duplication of effort and ensure best practices in CRM maintenance; Serve as the liaison and voice of bepress to outside vendors and conference organizers
Analytics
Learn, maintain, and improve upon conference impact tracking methodology; Manage conference budget and escalate any potential discrepancies or risks to Director of Communications
Functional and Technical Competencies
● Experience with event coordination; familiarity with Oracle iExpense, Concur, or similar expense-tracking and booking solutions preferred
● Excellent written and verbal communication
● Proficiency with MS Office (Word, Excel, PowerPoint)
● Experience with Salesforce or other CRM a plus
● Experience building and sending emails through Email Service Provider such as Pardot a plus
Education, Knowledge, Skills and Experiences
● A high degree of professionalism, service-orientation, and attention to detail
● Strong collaboration skills, comfort working in a fast-changing environment
● Familiarity with academic publishing, library sciences, and university culture are big pluses
