Job Description
Publicis Media’s Brand Experience team is focused on elevating brand reputation by offering clients, partners and employees meaningful, relevant experiences - curating and create programming, thought leadership and events covering the most important news and trends driving our agencies’ and our clients’ businesses.
The person in this role will be a key member of the global team, supporting the planning and execution of large-scale event experiences, while identifying, advancing and nurturing strategic partner relationships. Ideal candidates will have 4+ years of meeting and event planning experience, existing relationships with event vendors/venues, proven ability to negotiate partner contracts/relationship management, and has experience in customer service, hospitality or account management. The position will be based in the Publicis Media office in either Chicago or New York, with some domestic and international travel.
Primary Responsibilities:
• Support the EVP, Corporate Communications – Global Partnerships and Brand Experience team to build and maintain strategic partnerships with media company partners, festivals and conferences to create reputation-building, multi-faceted platforms that elevate Publicis Media and its Brands as transformational thought leaders.
• This position spans all aspects of logistics and content management, taking each experience from ideation to execution - from program structure/event proposals, managing project timelines, delegation lists, premiums, vendor management and partner relations, contract/budget reconciliation and necessary communication across audiences.
• Assist and support content development, casting and activation for brand reputation platforms.
• Advance partnership strategy and contract negotiations while managing these key relationships to ensure deliverables are met according to deadlines.
• Oversee event delegation management, tracking attendance and driving a clear, ongoing internal and client communication plan for all events, including agenda/program offerings, messaging, relevant logistic information and more. This includes support for senior agency leadership and key client relationships.
• Oversee the design and creation of event collateral, marketing and promotional materials liaising with external & internal design resources, as well as external industry partners.
• Support on-site event execution for both large-scale events, and smaller-scale experiential executions throughout the year.
• With the team, consult on events and experiences for Publicis Media global agency Brands.
• Lead post-event recaps, reporting and future recommendations
• Develop an in-depth understanding of the industry/company and business needs, nurturing strong relationships with agency leadership.
• Research event trends, innovations and industry best practices. Strive to become a go-to resource within the company as it relates to global events and client experiences.
Qualifications
• Bachelor’s degree or equivalent experience
• 4+ years related experience and/or training in event marketing, corporate communications, and/or conference management, which may include a background in event production, conference programming, trade shows, live events, theatre, commercial or agency work
• Excellent communication and interpersonal skills comfortable with all levels of organizational structure
• Role requires a natural self-starter with the ability to work well independently with initiative, but also as a key team player
• Experience managing the design process, Photoshop or design capability/background a plus
• Keen eye and attention to detail and first-rate project management skills are essential with the ability to multi-task many projects across various time zones and teams.
• Ability to conceptualize, define and execute a successful event program, with ability to develop a streamlined approach to event-related communications, programming, messaging and balanced visibility across agency brands working with various currencies within budget.
• Deliver the high-quality experience that is representative of our world-class, professional agency
• Previous experience with key advertising industry events a plus
• MS office, proficiency in Excel, Word and Advanced PowerPoint a bonus
