Requirements
Purpose of the Role:
The Office Administrator will support the Austin office of Macmillan Learning, serving as the face and voice of the office, the front desk gatekeeper and the first point of contact for employee needs. The ideal individual will be personable and organized, with the ability to exercise good judgment in a variety of situations, and the ability to maintain a realistic balance among multiple priorities. The Office Administrator will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Responsibilities:
Front desk duties include greeting and assisting visitors and vendors, validating parking, and assisting with office security efforts.
Conduct office maintenance such as overseeing office supplies, coordinating with vendors for coffee/water distribution, liaising with building management, and ensuring an organized and professional office environment.
Manage conference room calendars, preparing, stocking, and setting up for meetings; straightening meeting rooms after events.
Arrange and manage travel schedules for our executive team members.
Organize office events, culture building activities and cross-office talent initiatives.
Administer the Austin employee parking and commuter stipend program.
Coordinate onboarding schedules for new employees, as well as off boarding schedules for exiting employees, to ensure the best possible employee introduction and transition experience for the employees.
Complete various administrative projects for the Human Resources team, as required.
Required Qualifications:
Excellent written and verbal communication skills.
Ability to work independently and effectively, with little or no supervision.
1-3 years’ administrative experience.
Ability to multitask and prioritize both high profile and administrative duties at the same time.
Excellent time-management, calendar-management, and organization skills.
Proficiency with computers, Microsoft Office, and Google-based apps (Calendar, Mail, Drive, Forms, etc.)
Proactive self-starter, that will seek out projects when time permits.
Flexibility; Ability to adjust to change.
Preferred Qualifications:
Proficiency with Google Suite
A knowledge of and/or an interest in working in an academic environment.
