IFC Sales and Distribution Coordinator
Position Summary:
The Sales and Distribution Coordinator will report directly to and support the Director of Sales and Distribution with daily operations. This includes administrative tasks such as updating Hollywood database, reviewing invoices, and various ad hoc tasks. The position is responsible for being an active liaison between IFC Films and all of our exhibition partners and theatrical delivery partners. The coordinator’s function is to ensure all in-theater marketing materials are in place to promote IFC Films in the theatrical marketplace as well as ensure the physical delivery of our theatrical feature and trailer content to the exhibition partners; this includes ensuring delivery for press screenings and festivals as well. The coordinator will negotiate prime trailer placement to raise awareness for the films and to support the sales and distribution team’s plan for releasing the theatrical feature with financial success. The coordinator will work together with the Marketing team to procure any items for in-theatre promos/giveaways. Additionally, the coordinator works with the post production team mastering and delivering features and trailers to DCP and manages the delivery from IFC’s acquisitions and post production team to our vendors. Managing the VPFs for theatrical release are created and maintained by the coordinator. The coordinator will manage the bookings email address, and negotiate rates for Non-Theatrical screenings. This position will oversee the department intern.
Key Contacts:
1)Director of Sales and Distribution
Enact in-theater marketing plan based on theatrical distribution plan. Arrange and manage content delivery based on these plans. Enter all updates to Hollywood as directed; send screener links when requested; general support for the Director.
2) Acquisitions
Manage delivery of final DCP content to festivals planned as well as announce contractual availability to non-theatrical partners
3) Director of Marketing and Director Genre PR & Marketing
Trailer and posters go from creation to delivery to partners from Director of Marketing. Discuss and oversee creative plan for the perception of films and trailers in the marketplace together.
4) VP Finance
Managing and reporting monthly accrued expenditure and overseeing budgetary concerns with regards to P&A; Assist finance with monthly VPF accruals
5) Director, Post Production
Accept delivery of source materials for features and trailers to master to DCP for theatrical release
Principal Duties & Responsibilities
• Assist Director of Sales with various Department needs
• Liaise with exhibitors for all of their in-theater marketing needs
• Request trailer placement based on rating, content, demographics, and the content planned at the locations
• Make sure locations that require files for trailers and files for posters and stills and other content can access them or send to them directly
• Decide how to finish trailers and make available based on release strategy
• Arrange for any special installations at locations – mounted one sheets, review boards, marquees, larger in-theater displays to be created
• Coordinate Q&A’s for theatrical screenings
• Deliver trailers and features to master to DCP, liaise with post production for files / sources
• Arrange to attach trailers digitally to our features when possible
• Manage physical feature shipment and key distribution to exhibition partners
• Deliver completed feature elements to Proludio/Cineconductor and any other distribution partners
• Point person for feature and kdm delivery to festivals
• Update screening chart and disseminate information so all groups can confirm their event / screening / festival has content scheduled
• Contact for Bel Air requests, oversee Bel Air account and represent IFC to high level executives throughout the entertainment industry
• Contact for all issues 24/7 for our content in the field
• Manage Hollywood Software on a technical level between Hollywood / Deluxe / IFC to ensure all bookings are transmitted with all correct information
• Responsible for budgeting and tracking costs for trailer creation and distribution, feature mastering and distribution, in-theater marketing and related costs, managing VPFs for theatrical distribution
• Oversee delivery of trailer content and posters to Vision for availability to access by exhibitors
• Send a weekly Exhibitor Relations e-blast to alert exhibitors what materials are available
• Negotiate rates for Non-Theatrical screenings
• Maintain inventory controls, availability and inventory over library blu rays, dvds, screener dvds for sales, and legacy 35mm content
• Report weekend grosses internally and to filmmakers, producers, distribution partners
• Ad hoc Rentrak analysis / studies
Qualifications
• Management Skills: Excellent management skills, including cross-function management and teamwork building; Excellent written and oral communication skills; Proven self-starter with ability to meet tight deadlines; Demonstrates flexibility and multi-tasking ability; Ability to work with senior levels of management
• Technical/Functional Competencies: Knowledge of theater locations and marketing of films in theaters; Knowledge of digital cinema for both features and trailers
• Key Experiences/Achievements: Established relationships with theater owners and bookers, festivals, Deluxe, and a multitude of vendors for in-theater experience Excellent negotiating skills
