We currently have an opening for an Office Coordinator/Executive Assistant in Hollywood, CA.
SPECIFIC DUTIES:
Office Coordination: Organize and maintain Software administrative and development offices; order supplies, working meals, submit PO requests for outside services, and handle onboarding/offboarding of software staff.
Executive Admin: Support VP Product Development & VP Operations. Answer phones, handle travel, expense reports and all scheduling of appointments and client engagements.
Customer Service: Deliver a high level of customer service and confidence while fielding calls and organizing meetings for new and existing client base. Balance urgency while maintaining a heightened sense of awareness to customer experience.
Communication: Liaison with all departments situated at the Hollywood (Las Palmas) campus; maintain a clear and concise line of communication with engineers, support technicians, operational staff, finance, shared facility maintenance and exec management.
Organization: Support multiple initiatives and staff while prioritizing tasks and anticipating needs of the department and leadership team.
New Technology: Maintain proficient understanding of Deluxe’s web portals (Synapse & Metatrack). Serve as a back-up to software support when needed to assist with internal/external users.
Vendor Coordination: Interface with outside technology vendors to assist with procurement of new technology hardware and software products and services by obtaining bids and comparison pricing information.
