Advertising Assistant - Penguin Publishing Group
We are seeking an organized and detail-oriented Advertising Assistant to join the Creative Marketing Services department in Penguin Random House. This individual will support the Director of Advertising and Promotions and the Associate Director of Advertising and Promotions in maintaining an organized and productive work environment. Working with the Avery, Berkley, Dutton, Plume, Putnam, and TarcherPerigee imprints of the Penguin Publishing Group, the Assistant will learn all about the book publishing industry in an exciting, fast-paced, and creative department!
Specific responsibilities include:
1. Working with supervisors to update internal documents, including ad cheat sheets.
2. Communicating with supervisors and the paperback team to coordinate, layout, and submit designed back ads for production.
3. Purchasing digital and print media on behalf of each marketing team under the guidance of the Ad/Promo Coordinator.
4. Organizing presentation run-throughs, scheduling meetings, booking conference rooms, and contacting attendees.
5. Maintaining the advertising archive by filing ads and promotional items.
6. Contacting vendors for live screenshots, campaign wrap-up reports, and physically printed ad materials in preparation for marketing meetings.
7. Creating promotional item ISBNs and coordinating delivery with the warehouse.
8. Gathering and preparing assets for presentations.
9. Providing administrative support, including creating purchase orders, logging orders into system, invoice trafficking, renaming and filing insertion orders, setting up new vendors with accounts payable, and handling expense reports.

• Excellent organizational skills and strong attention to detail
• Proven ability to prioritize multiple assignments and meet deadlines in a fast-paced environment
• Ability to work well under pressure
• Excellent written and verbal communication skills
• Ability to take initiative and problem solve creatively
• Proficiency with Microsoft Word, Outlook, PowerPoint, and Excel
• Knowledge of SAP, FileMaker Pro, Photoshop and InDesign a plus
