Job Description
Overview:
Blue 449’s Talent team is seeking an efficient Human Resources (HR) Coordinator to undertake a variety of HR administrative duties. You will facilitate daily HR functions like keeping track of employee’s records and supporting the onboarding and off boarding process. Your role, also, involves performing tasks with a focus to improve the brands reporting by ensuring data accuracy and synergy between varies HRIS.
The ideal candidate will have a broad knowledge of Human Resources as well as general administrative responsibilities. He/She will be able to work autonomously and efficiently to ensure the end-to-end running of HR projects and operations. To succeed in this role, you should be familiar using HR software and tools.
Ultimately, you should be able to contribute to the attainment of specific goals and results of the HR department and the organization.
This role reports into our VP, Talent Ops & HRIS, and is based in our SoHo, NYC office.
Qualifications
Requirements:
• Proven experience as an HR coordinator or relevant human resources/administrative position
• Knowledge of human resources processes and best practices
• Strong ability in using MS Office (MS Excel and MS Powerpoint, in particular)
• Experience with HR databases and HRIS systems (e.g. PeopleSoft)
• Outstanding communication and interpersonal skills
• Ability to handle data with confidentiality
• Good organizational and time management skills
• Can do attitude, exudes enthusiasm for team and Company, and volunteers to help team and administrative counterparts when available
• BSc/BA in Business Administration or relevant field; additional education in Human Resource Management will be a plus
Additional Information
Responsibilities:
• Respond to internal and external HR related inquiries or requests and provide assistance
• Redirect HR related calls or distribute correspondence to the appropriate person of the team
• Maintain records of personnel-related data (payroll, personal information, leaves, turnover rates etc.) in both paper and the database to ensure all employment requirements are met
• Liaise with other departments or functions (payroll, benefits etc.)
• Support the onboarding process by booking and preparing conference room, send out new employee orientation survey, schedule 30 day HR touchbases, weekly new hire report and collect/review new hire paperwork
• Attend weekly Operations, IT and Human Resources meeting to review new hire/transfers for the upcoming week
• Manage off boarding process by preparing term documents such as severance agreements, calculation of vacation payout, IT notification, PAN (Personal Action Notice) for payroll, collect company property (keys, laptop, ID and mobile device), and for involuntary terms collect leftover personal items and mail to employee.
• Manage the preparation and submission of Human Resources invoices by allocating cost by brand, collecting appropriate approvals, submitting to finance weekly and electronically filing invoices.
• Manage Blue 449 transfers to/from by coordinating with to/from brand, communicating with employee on to-do’s, IT set up and paperwork
• Provide administrative support by processing employee documents electronically and physical copy, update systems (Time & Attendance, P-Talent & PeopleSoft) with new supervisor, order supplies for the department, enter IT Tickets for drive access, IT updates and software requests and book conference rooms for department meetings, maintain department contact list
• Process employee data changes such as transfer, term, promotion, salary change, etc.
• Manage the preparation and submission of special benefits such as tuition reimbursement, gym discounts, sabbatical, gift for new parents, wellness stipend, matching gifts, etc…
• Produce and submit reports on general HR activity (Survey Monkey for New Hires & Terms)
• Assist in ad-hoc HR projects
• Assist with HR events such as Take our Daughters and Sons to Work Day, JP Morgan Chase Corporate Challenge, Administrative Professionals Day and annual health fair.
