Administrative Assistant
Taylor Communications is seeking an experienced Administrative Assistant to support assigned members of our leadership team in our Arden Hills, Minnesota location.
Responsibilities include:
• Provides administrative support to senior leadership within Taylor Communications Secure and Customer Solutions (TC SCS).
• Independently manages multiple tasks and projects with competing priorities and deadlines.
• Anticipates the senior leaders’ needs and proactively bring together appropriate people and resources to support the senior leaders in addressing issues.
• Generates, summarizes and prepares a variety of reports as directed by senior leaders.
• Manages external contacts by proactively understanding who they are, those that are priority contacts and keeping track of periodic communication needed for priority contacts.
• Coordinates the daily schedule for senior leaders.
• Manages travel arrangements and proactively coordinate the pre-planning of trips with various internal functions, including arranging appropriate travel, agendas and necessary contacts and other necessary preparations.
• Demonstrates that ability to support various sales, marketing, and financial projects as needed.
• Actively manages multiple Outlook calendars to ensure efficient and effective use of leaders’ time.
• Prepares and maintains Excel reports, Power Point presentations, meeting minutes, and communications to employees.
• Plans and coordinates company meetings and special events for the leadership and the Arden Hills employees.
• Manages various cross-functional projects and initiatives.
• Partners with the assigned leader(s) in a variety of ways to enable them to achieve their strategic goals despite potentially requiring extended hours or detailed tasks.
• Coordinates conference room supplies, and act as the back-up office receptionist as needed.
Required Skills:
• Excellent verbal and written communication skills.
• 3 + years successful experience in an Executive Assistant capacity supporting senior level leader(s).
• Advanced computer skills (MS Office Suite – Outlook, Excel, Word, and PowerPoint), experience with OrgPlus preferred.
• Ability to maintain confidentiality and demonstrate discretion and professionalism.
• Skilled at interactions with all levels within the organization.
• Ability to prioritize, organize, and handle multiple tasks and deadlines with frequent interruptions.
• Excellent follow-up, organizational and problem solving skills.
• Strong attention to detail and accuracy.
• Ability to work well both independently and as a collaborative team member.
• Self-directed with high level of personal ownership and accountability.
• Helps create a collaborative, professional and fun culture for the employees of the team.
