The Sales Support Bid Specialist is responsible and accountable for accurately preparing adoption and open state territory instructional materials bids, and contract support to meet the requirements and established deadlines for the various States. The Specialist is also responsible for maintaining accurate electronic and hardcopy files of in-process documents and final bids and contracts. The Specialist coordinates gathering all required textbook data, pricing, documentation, corporate and insurance certificates, bid fees and more related to submitting a compliant bid. Successfully managing a bid requires the ability to learn the specific adoption bid requirements, conduct ongoing research to stay up to date, plan, organize, schedule and lead multiple meetings to ensure on time delivery of intents to bid, bids, samples, and subsequent contracts where needed.
The Specialist works collaboratively with his or her own department members, sales, product management and other subject matter experts. The Specialist must be responsive, decisive and proactive. The Specialist must exhibit excellent problem-solving and critical thinking skills in order to analyze the requirements of, and help direct the submission of, a complaint and successful bid. The ability to plan, communicate, and coordinate a variety of work across the organization to produce an error free, compliant bit in a high pressure, multi-deadline environment is key.
Key Responsibilities:
• Monitor, research and evaluate state instructional materials adoption bid requirements and document/communicate them as required.
• Coordinate, prepare, and submit compliant bids and manage all lifecycle support including samples, contract execution and entry, and general sales operations support related to bids.
• Communicate key bid and contract information regularly with stakeholders and manage such information in Pearson and customer systems.
• Ensure efficient and accurate data entry into Pearson and customer systems as required.
• Plan, lead, and participate in a variety of meetings to ensure all required stakeholders participate and information is shared, understood and submitted timely and in compliance with requirements.
Qualifications
• 2-5 years of progressive experience in a fast-paced, deadline-driven office environment.
• Prior experience with state instructional materials bids and sales or marketing support recommended but not required.
• A college degree preferred. In lieu of a college degree, appropriate work experience in the above listed areas will be considered.
• Must possess a highly proactive, drive-to-completion approach and be willing to resolve issues in person.
• The ability to direct and orchestrate multi-department team efforts with tight deadlines.
• Proven ability to gather data from and coordinate the work of others without direct authority.
• Ability to quickly learn and efficiently use multiple IT systems, data entry methods and cross-departmental processes.
Additional skills/knowledge/abilities:
• Excellent verbal and written communication skills.
• Detail oriented with excellent organizational skills, the ability to set and change priorities, and produce accurate work in a deadline-driven, changing and growing environment.
• Solid experience in managing daily changes in personal work load, work priorities and deadlines, supporting multiple bids and contracts.
• A professional yet friendly, "customer service" attitude.
• Must be a solid problem solver with demonstrated ability to research and resolve issues quickly, find creative solutions to problems and take ownership of resolutions.
• Must be self-motivated, a self-starter and driven, requiring minimal day-to-day supervision.
• Ability to handle multiple and overlapping deadlines.
• Must have the ability to work smart in a high pressure, deadline-driven environment.
• Identify and propose improvements to make the department more effective and efficient.
• Ability to work in a fast-paced, team environment that might require additional time on short notice.
• Must handle competition-sensitive information appropriately.
• Proficient in Microsoft Office software required, Word, Excel and Access preferred.
• SAP and Oracle knowledge preferred.
