SUMMARY
The Al Held Foundation is seeking an organized, meticulous, and self-motivated individual with an interest in modern art to join the staff as Operations Manager.
The ideal candidate will be experienced in handling a wide range of administrative and operations-related tasks. Applicants must be resourceful, attentive to detail, proactive, and efficient. The position necessitates the ability to learn quickly and manage time wisely. The office is friendly and collaborative, and the Operations Manager should be able to work independently with little supervision. Expert written and verbal communication skills are equally important.
The Al Held Foundation is undergoing an exciting period of programmatic expansion, and the ideal Operations Manager will play an essential role in all facets of this development.
RESPONSIBILITIES
Administration
The Operations Manager is very much the hub of the operations of the Foundation and coordinates the activities of a highly collaborative five person staff. Related responsibilities include:
-liaise with all Foundation partners (galleries, museums, publishers, etc.)
-assist the Executive Director and President
-draft and review correspondence
-prepare, review, and summarize miscellaneous reports and documents
-prepare presentation materials for biannual board meeting
-take minutes at board meetings
-answer phones and direct all incoming calls
-retrieve incoming mail at local post office and process outgoing mail and courier deliveries
-manage institutional calendar
-organize and maintain paper and electronic files
-oversees human resources
Finance
The Operations Manager oversees bookkeeping, payroll, insurance plans, and other benefits, in conjunction with outside consultants and services. Such duties include:
-maintain bank accounts, receipts, invoice files, and financial records
-serve as the primary financial contact for all accounts
-arrange for bank transfers
-create weekly accounts reports, including all payments, transfers, and deposits
-review bi-weekly payroll documents
-work with Foundation accountants
-create and maintain annual budget
-administer staff healthcare plans and other benefits
-review and process grant requests and payments
Facilities
The Foundation is located in a picturesque 4-acre former dairy farm in the Catskill Mountains. A key responsibility of the Operations Manager is to oversee the care and functioning of a beautiful five building compound. Responsibilities include:
-liaise with trades people and service providers
-maintain schedule for property maintenance
-order supplies and services
-identify and troubleshoot issues as they occur
Communications
The Foundation is expanding its communications initiatives to reach new audiences. The Operations Manage plays a key role in the management of social media, including:
-manage Foundation’s Instagram
-write, design, and manage biannual e-newsletter
-develop Foundation’s media strategy
Programs
The Foundation offers a range of scholarly and educational programs, focusing on on-site class tours, publications, and exhibitions. The Operations Manager provides key support in the following areas:
-liaise with professors and group leaders for educational tours
-set up hospitality for educational tours and other professional visits
-archival research
-copyedit Foundation reports and publications
QUALIFICATIONS
-Bachelor’s degree and minimum of three years working in administration or related experience
-excellent organizational, communication, and client relations skills
-proficiency with Microsoft Office suite
-ability to multi-task and set and meet deadlines
-be proactive and willing to ask questions
-enthusiasm for modern and 20th century art
-bookkeeping and/or QuickBooks experience a plus
POSITION DETAILS
The Foundation offers a competitive salary commensurate with experience and a comprehensive benefits program. Office hours are 9:30 am to 5:30 pm Monday through Friday.
