BIG NYC seeks a Front Office Manager

Our headquarters are located outside the US and over seven years ago we started an affiliate in New York. We seek a full time Front Office Manager to support our creative staff as we continue to experience steady growth.
You will be part of the Admin Team in New York and will report to the Director of Operations in New York. You will also work with our Admin team in Copenhagen. You will be tasked with organizing and coordinating daily office operations to ensure efficiency, clarity and employee wellbeing.
More specifically, you will be also responsible for:
Primary point of contact for all general office-related inquiries both internally and externally- able to quickly and professionally resolve matters or refer them to the appropriate parties
Liaising with building management to procure cards or fobs for new employees, manage visitors, reserve elevators and arrange maintenance visits
Management of all office events from planning and budget phases through execution
Primary contact for external vendors and suppliers including security, cleaning staff and HVAC maintenance company
Direct management of front office team to ensure that reception and meetings run smoothly
Oversee lunch program, supply and pantry inventory/ordering and all other front office functions
Maintain a clean, safe and welcoming office environment at all times
Light maintenance tasks (changing lightbulbs, tightening door pulls, etc.) and coordination vendors as required for maintenance and repairs
Assisting with ad hoc task requests from the entire staff
Management of off-site storage and sub-leased property
Setting policies and best practices for daily operations and house rules
We seek a person who:

Is capable of multi-tasking tasks that often vary in scale and scope
Has self-confidence and persistence, and is confident with decision making
Is proactive and who also completes tasks with a sense of urgency
Has excellent interpersonal skills and written communication skills
Enjoys a busy and creative environment with many personalities
Is comfortable with fast-paced decisions and rapidly changing environments
Feels that no administrative task is too little or too great
Is a good colleague and a team-player who wants to engage in BIG’s unique office culture
Can be flexible with regard to working hours and assignments
Is incredibly professional on the phone, in e-mails and in person
Has a sympathetic and nurturing demeanor
Has several years as an administrator with a creative company
Is discreet
Is fun!
