Job Description Summary
The Department Coordinator supports the entire Digital team in overseeing many of the administrative, operational and logistical functions of the department through general support of the work. Coordinates internal meetings, event/meeting planning, and related follow-up across internal departments. The Digital Coordinator provides a variety of services and support for different projects.
Responsibilities
• Administrative support for the SVP of the Digital including maintaining calendar, scheduling and preparation for meetings and travel, travel and expenses, recruitment and other administrative duties as needed. (50%)
• Assist Digital department with processing digital invoices, ordering supplies, managing hardware and software requests, creating and submitting purchase orders, processing payments, submitting awards and panel entries, reservations for contractors, onboarding of new employees, security requests and other administrative duties as needed. (30%)
• Assist with formatting and updating department presentations. Also, organization of departmental assets and files such as contracts and contractual obligations. (10%)
• Provide Digital project support through coordination with other NGS departments such as Sci-Ex, Education, Marketing & Engagement, Development, NGP, etc. as well as external partners. (10%)
Minimum Education Required
Bachelor’s Degree preferred
Minimum Years and Type of Experience
1-2 years of relevant administrative or coordination experience.
Knowledge and Skills Required
Ideal candidate would be a self-starter with a can do attitude and great organizational skills. Communication, research and writing skills, record keeping experience, management support experience are required. Ideal candidate will be a multi-tasker and also have knowledge of, or experience in, digital work.
Should be competent with basic computer programs including Word processing and Excel and other similar office software.
