A little bit about our team:
The Executive Assistant to the President will provide complex executive administrative, organizational and programmatic assistance to the President as well as the senior management team. Undertake and contribute to special projects for the President in general and as assigned.
Here you’ll get to:
• Answer multiple telephone lines articulately and professionally; receive and connect numerous domestic and international calls daily; Arrange and coordinate conference calls.
• Schedule all appointments and maintain overall calendar: Prepare daily itinerary, respond to all invitations and review social events.
• Handle all domestic and international travel arrangements, including car, hotel and flights, Prepare thorough itinerary for each destination, handle all specific requirements needed for each trip.
• Work closely with Chairman’s Office and Department heads to ensure accuracy of projects designated to each department.
• Receive all e-mails and faxes directed to the President, and handle all mail and packages, Read and organize all the above, preparing them for comprehensive review with the President.
• Special projects/events: Compile mailing lists, monitor elected administrators to assure accuracy and overall success of the event.
• Interact with corporate management, industry leaders, artists, artist management, press
• Process all invoices and aid in T&E preparation.
• Execute President’s personal projects
• Assist with organization of events and fundraisers
• Cordially greet guests and serve beverages, perform all general office duties, including ordering office supplies, CD's, updating the President’s contact list as needed, and filing. Search the internet to gather information on specific inquiries.
It would be music to our ears if you also had:
• Proficient in Microsoft Office Suite
• Previous experience in Travel & Expense systems/software
• Meticulous attention to detail particularly with scheduling
• Possess the ability to multi-task and to prioritize these tasks
• Operate effectively in a fast-paced environment.
• Interpersonal/professional demeanor when dealing with all contacts in person and on the phone
• Flexibility in adapting to re-prioritized tasks
• Takes initiative in seeking new assignments
• Integrity/trust in handling confidential matters
• Minimum five (5) years’ experience working in an executive environment/executive office
• Bilingual (English and Spanish)
• Previous experience working in the media/entertainment industry preferred
• Flexibility to work overtime and travel sporadically
• Sense of urgency
Education Required:
• Degree Preferred
