Purpose of the Job:
Effective management of all projects, pre-publication, print and electronic products, including coordination skills to deliver on contributor/author management, title management, database integrity, digital assets, and other administrative duties as needed.
Main Activities and Responsibilities:
Project Management
Maintain project management overview, working with Acquisitions Editor(s), book contributors, authors and editors, and production colleagues, raising red flags as required and collaborating on problem solving with the CDM/AE/Publisher as required. Track and manage many projects at the same time. Ensure each stage of project life cycle including delivery of author/contributor/editor instructions and editor/ contributor payments, material from contributors and marketing questionnaires are delivered in a timely fashion. Keep in regular contact with book authors, contributors and editors sending reminders and chasing material and answering questions to facilitate the publication process for both chapter-based publishing and conventional MS delivery. Serve as day-to-day author/contributor contact addressing all questions and concerns regarding manuscript preparation, illustration creation and delivery, permissions, etc. Manage book ancillary packages, companion websites, and multi-media components. Using standard reporting practices communicate progress with all titles to Delivery Content Manager/AE/Publishers as processes dictate. Prepare and submit final pricing and final costs for all books. Sales & Marketing Support
Work with marketing and editorial to prepare Advance Title Information, and solicit author marketing questionnaires. Create cover design briefs and work with design and editorial to create and revise covers.
Data Integrity
Maintain data as required in the internal project tracking database (EMSS, PPM. Ensure all project information including marketing data is entered into systems according to the project schedule. Monitor systems for reprints and coordinate corrections for reprints with production. Be equipped to be/become a Power User of our data management system. Create new product records and maintain data as required in the internal project tracking database.
Administrative Support
Support your directorate with administrative tasks, schedule and prepare for team meetings, run reports contribute to preparation of special request reports and projects as requested.
Functional and Technical Competencies
• Excellent Project Management skills
• IT skills – developing strong knowledge of in-house systems
• Strong working knowledge of Microsoft Office (Excel, Word, PowerPoint, etc.)
• Managing of schedules within a complex workload
Education, Knowledge, Skills, and Experience
• Education to degree level or equivalent
• Relevant work experience in a similar role
• Excellent communication skills – written and verbal
• A good level of numeracy and data handling skills
