TEFAF (The European Fine Art Foundation) champions the finest art from across the ages. With two art fairs in New York and one in Maastricht, The Netherlands, TEFAF showcases museum-quality art presented by the world’s top dealers.
POSITION OVERVIEW
TEFAF New York is seeking an energetic and experienced Head of Operations to manage all aspects of its two art fairs, Spring and Fall, held at the Park Avenue Armory in Manhattan. This is a full-time, year-round position. During both Fairs, the individual is required to work the full run of Fair, which includes nights and weekends.
ABOUT THE HEAD OF OPERATIONS
The Head of Operations is the pivotal member of the operations team and manages all aspects of operations planning for the two TEFAF New York Fairs, Spring and Fall. The individual works in conjunction with the Fair Operations Manager who is based in London and on-site in New York for the Fairs. The Head is supported by the Operations Associate in New York. The individual must have flexibility and discretion in dealing with a wide range of people and work well under pressure, especially during busy Fair days. An art background or interest in art is an asset. The ability to work collaboratively is essential.
RESPONSIBILITIES
Responsibilities include, but are not limited to:
Planning:
• Oversee and manage all aspects of Ticketing (i.e. policy, production process, management of systems, ticketing vendor liaison, on-site and online sales, ticketing desk and ticket staff).
• Co-Lead all production matters (e.g. Fair catalogue, invitations, brochures, floorplan, Fair signage, badge printing, etc.).
• Produce Fair calendar and timetable in respect to Exhibitor deadlines.
• Organize distribution and mailings of all ticketing and printed matter.
• Participate in development and testing of technology projects with the team in The Netherlands.
• Liaise with Fair builder, design teams, vendors, suppliers, Park Avenue Armory staff, etc.
• Coordinate and manage interns, temp staff, and Fair-related personnel.
Exhibitor Relations:
• Primary dealer liaison in all aspects of Exhibitor’s participation in TEFAF NY Fairs.
• Manage and resolve all Exhibitor-related issues.
• Administer and manage the application process.
• Oversee and manage the on-boarding and Fair documentation process.
• Customize and manage the online Exhibitor Portal.
• Edit content and coordinate distribution of Exhibitor Information Manual.
• Coordinate with Management and Marketing on all Exhibitor and Fair communications.
On-Site Fair Operations:
• Oversee and resolve all emerging Operations issues during run of the NY Fairs.
• Coordinate Exhibitor move-in/move-out process.
• Set-up and manage Show Office with Operations Associate and Executive Assistant.
• Oversee all temporary Fair staffing.
• Coordinate set-up and logistics of furniture rentals for Show Office, Exhibitor Lounge and Press Lounge.
QUALIFICATIONS
• 3-5 years experience in operations and/or logistical planning and implementation
• Strong organizational skills with ability to multi-task
• High attention to detail a must
• Work collaboratively with all levels of management and staff
• Excellent writing and communication skills
• Ability to work under pressure in a fast-paced, dynamic environment
• Strong proficiency in technology: CRM, Mac, PC
• Discretion in handling confidential and sensitive matters
• Positive attitude with exceptional judgment and diplomacy skills
• Prior art fair or production experience a plus, but not a requirement
• Fluency in a second language a plus, but also not required
Salary: Commensurate with experience. Includes medical and paid vacation. Candidate must be authorized to work in the United States.
