Job Summary:
Live Nation North American Concerts is looking for an Executive Assistant/Office Manager for the National Sales Center in New York City. This role will support the Senior Vice President of Sales and members of the leadership team with administrative needs including managing schedules, travel, correspondence, day to day business operations and special projects. The ideal candidate will be able to multitask in a fast-paced environment and remain organized, with attention to detail.
ESSENTIAL DUTIES & RESPONSIBILITIES
• Provide general administrative support and perform diversified administrative duties, prioritize, and manage projects with minimal supervision.
• Proactively manage the calendars of the leadership team and scheduling of meetings across multiple time zones
• Arrange extensive domestic business travel including air, hotel, meals and ground transportation
• Prepare and manage weekly expense reports
• Serve as acting office manager by ordering supplies, acting as a liaison between building vendors, property management and business unit, distributing mail and assisting with IT setup / issues
• Assist in gathering and summarizing various department-wide information for various projects
• Communicate effectively and professionally with members of the sales organization, venues and other Live Nation departments as needed
• Perform data entry, uploading, and reconciliation in Salesforce.com (CRM system) and/or Archtics (ticketing and inventory management system) as needed
• Project manage special department initiatives as needed
SKILLS & QUALITIES DESIRED
• 3 or more years in an executive or sales support role
• Proficient use of Microsoft Outlook and Microsoft Office to include Word, Excel, and PowerPoint
• Professional level of verbal and written communication skills
• Possess a strong work ethic with a high sense of responsibility in an ever- changing environment
• Must be able to handle sensitive matters and exercise excellent judgment
• Must be able to think through, evaluate and solve problems logically and efficiently
• Must have exceptional organizational skills and meticulous attention to detail
• Exposure and understanding of Salesforce.com and the Archtics ticketing system
• Must demonstrate enthusiasm and positive energy both in person and on the phone
• Ability to work independently with limited supervision
