Description
We are seeking diverse, qualified candidates to join the Association of Art Museum Curators (AAMC) and AAMC Foundation as an administrator. As the organizations continue a forward momentum, we hope to secure a team member that is engaged in our mission. The position is a supportive administrative one, and not a curatorial role.
The Administrator serves as the administrative support staff for all aspects of developing and implementing the work of AAMC & AAMC Foundation, and reports to the Executive Director. Primary areas of focus are development, operations, and administrative, including appointment management, correspondence, filing, and supplies. The role will have responsibilities utilizing online platforms such as MailChimp, YourMembership, Zoom and others.
The position is 40 hours a week with occasional evening and weekend work, with a full benefits package. The offices are located in NYC, and there is not a relocation package available.

FULL JOB DESCRIPTION IN DETAIL
RESPONSIBILITIES
-Create & maintain Board of Trustee, Committee, & Task Force rosters, meeting minutes & other associated documents, including taking & preparing Board Meeting minutes
-Maintain & manage all calendars for the organizations, staff, committees & trustees
-Manage administrative projects including general research, prospect research (members, corporate & foundation), marketing potential & database entry
-Maintain individual, institutional & corporate donor files, track gifts & meet deliverables
-Merge & deliver solicitations & acknowledgements for all appeals & gifts, including annual fund, individual, institutional, corporate & membership
-Ensure recognition of donors is correct & updated in print & online
-Work directly with AAMC membership, including individual & institutional member relations, renewals, appeals, member phone inquiries, acknowledgement & other aspects as needed
-Deliver membership statistics & reports monthly
-Manage corporate sponsorship & advertisement deliverables, contracts & payments
-Assist & report to Program & Project Coordinator with aspects of events & programs, as directed, including registration, name tags, attendance listings, ticket purchase set up & management
-Collect & organize Conference documentation, including photographs, videos & press
-Assist with logging receipts, invoices & weekly bank deposits
-Send e-communications & deliver quarterly e-newsletter in coordination with team
-Ensure that the website is accurate & up to date
-Administrative & clerical tasks including, copying, collating, compiling data, filing, responding to inquiries & other tasks as needed
-Manage facilities such as supplies, files, service providers & vendors
-Manage accommodation & travel for speakers, staff & AAMC Leadership to programs
-Organize shipping of needed materials for program execution
-Merge & deliver timely participant & venue thank you packages for programs
COMPETENCIES & QUALITIES
-MAC platforms for office programs, database & file management, along with ability to learn new software
-Digital marketing, including basic photo editing & e-communications
-Office skills in email, phone, fax, scanning, and shipping, including FedEx
-Problem Solving

-Ability to communicate clearly & concisely, in a timely & consistent manner

SALARY AND BENEFITS
Salary expectations are in the upper mid to high $30,000 range with a generous benefit package
