Description
The Event Marketing team manages 100+ events per year supporting FOX’s cable networks businesses, including Fox Sports, FX Networks, and National Geographic Partners. Events include national and international special events, meetings, lunches or dinners, client entertainment, trade shows, employee events, and publicity events, such as premieres and wrap parties.
The Executive Assistant will provide administrative support to the Vice President of Event Marketing, and others in the department. This role is for someone interested in assisting with and learning all aspects of the day-to-day challenges of an event, while managing the administrative, behind-the-scenes paperwork. The successful candidate will be someone who is extremely organized, attentive to every detail, thinks analytically, communicates effectively and remains calm under pressure. Proficiency in Excel, including strong skills in utilizing advanced financial functions and formulas, is a must.
Responsibilities
• Provide administrative assistant support to Vice President, including answering phones, calendar management, travel arrangements, expense reports, mail/faxes, filing, and copying.
• Manage office needs for department, including ordering supplies and materials, equipment, shipping/messenger needs, working with IT on computer issues, and with Facilities on building/office issues.
• Maintain department spreadsheets, create/track expense authorizations, reconcile expenditures against event budgets, manage reconciliation of meeting cards and T&E, process/track invoices, and provide other administrative support for events as needed.
• Gather and submit necessary paperwork to onboard new vendors, and act as the point of contact for vendor inquiries about the status of payments.
• Assist with events as needed. Must be available to work evenings and weekends, and for possible travel to provide on-site support.
Qualifications
• Four year college degree required, and at least 3 years of office or administrative assistant experience.
• Must be extremely detail oriented, organized, proactive, and able to multi-task in a fast-paced environment.
• Must be an expert in Excel, including strong skills utilizing advanced financial functions and formulas, and be good with numbers, charts and timelines.
• Proficiency in Microsoft Outlook and Word required; experience with PhotoShop, Illustrator, PDF files, JPEG files and EPS a plus.
• Must work well under pressure and possess creative problem solving and critical thinking abilities.
• Must be a team player, willing to learn, have a positive can-do attitude, and be flexible to adapt to constantly changing priorities and business demands.
• Must possess discretion, good judgment, tact, and strong communication skills.
• Must be poised and able to interact professionally with all levels of the organization and a wide variety of personalities.
• Must be available to work evenings and weekends as needed, and for occasional overnight travel to provide on-site support for events.
