Informa Media, formerly Penton Media, is seeking a Front Desk/ Office Administrator to work in our Boulder, CO office. Summary:
The Front Desk/ Office Administrator is the “go-to” colleague responsible for providing professional and best in class customer service and office management to external visitors and internals colleagues in the Boulder office. They will be the first point of contact for all visitors and will be a vital resource establishing, coordinating and improving office procedures in a positive, helpful, and professional manner. This candidate must have a “can-do” attitude, be willing to learn and bring an open-minded approach to a variety of projects and ideas, as well as miscellaneous tasks supporting Administrative Assistants.
Responsibilities Include:
• Responsible for providing superior customer service for guests, staff, and colleagues from other offices. Logging all visitors and completing all security related procedures. Escorting guests to appropriate meeting rooms when requested
• Must have excellent oral and written communication skills
• Coordinate catering for various departments, events, and meetings
• Manage conference rooms: calendars, knowledge of A/V, setup and take down, room layout, etc.
• Serve as back up for Facilities and have operational knowledge of the building
• Undertake the organization or assisting of special projects such as company events for holiday gatherings, team building activities, board meetings, volunteer events, etc.
• Assist other various departments with travel, spreadsheets, calendar and meeting management, etc.
• Additional projects as assigned
Position Requirements:
• Bachelor's Degree or equivalent work experience in relevant field
• Minimum 3 years previous administrative or office manage experience required
• Strict attention to detail and a superior ability to multitask in a fast-paced environment
• Ability to work independently on projects, from conception to completion
• Proficiency in Microsoft Office, Word and Excel, Project Management tools, and the ability to learn new software applications when needed
• Must be able to correspond professionally both verbally and written
