The Corporate Sponsorship division is charged with securing corporate funding in support of WGBH's national productions and local media operations, by raising awareness in the marketplace of WGBH and PBS productions as a marketing solution.
Position Overview
This position reports to the Managing Director of Sponsorship Sales. Responsibilities include tasks associated with supporting the national sales representatives and managing director. Support involves preparing for sales meetings (assisting with the selection of research and presentation options, editing PowerPoint slide presentations, creating and customizing other sales materials in Word, InDesign and Excel), entering and maintaining client and prospect data in a SalesForce database, acting as point of contact for sales representatives on the road, making travel arrangements for sales representatives, and other general department administrative support. The Special Projects Assistant is responsible for maintaining the professional image of the Corporate Sponsorship division in print materials and on the phone.
Essential Functions:
33% Administrative Support: Ensure orderly and timely processing of proposals and correspondence. Assist sales representatives with maintaining daily calendars. Edit and proof-read correspondence. Enter and maintain prospect and client data in a FileMaker database; assist sales reps and Managing Director of Sales with maintenance of mailing lists. Make travel arrangements for sales representatives. Act as a point of contact for the sales reps while they are on the road. Take minutes at department staff meetings. Other duties as assigned
33 % Desktop Publishing: Edit, customize and proof read PowerPoint slide presentations. Edit, customize and proof read other printed sales materials, including proposals and product information sheets in Word, Excel, and InDesign. Print, bind, collate, copy and assemble materials for sales presentations.
33% Sales Strategy: Work to continually improve understanding of the selling process in order to assist the sales reps with the selection of research and presentation options. With instruction from the Director of Sponsorship Research, understand and apply concepts of media math and media terminology. Use web-based tools to discover in-depth information on the business needs and objectives of current prospects. Search for and recommend new prospects. Collaborate with the marketing team to create customized pitch materials. Manage timelines and deadlines, and collaborate with colleagues to ensure quick, accurate, efficient turnaround of pitch materials and follow-up information.
Skills Required
The ideal candidate is able to write compelling and persuasive copy for sales presentations, has exceptional organizational skill, solid math skills and a strong sense of design. 1-3 years experience with desktop publishing or layout design (including newsletter, professional proposals, presentations or advertisement layouts) required. Candidates must have a professional demeanor both on the telephone and in person. Some experience interacting with senior-level executives necessary. Candidates must be able to embrace change in a fast-paced work environment, and handle multiple tasks simultaneously with minimal supervision. Consistent follow-through and extreme attention to detail are essential. Candidates should be ale to prioritize responsibilities, and have excellent written and verbal communication skills. Enthusiasm, high energy, the ability to perform in a deadline driven environment and be a team player required. Proficiency required in: Powerpoint, Word and Excel. Familiarity with InDesign and SalesForce a plus.
Educational Requirements
Bachelor’s degree or equivalent work experience required.
