The Marketing Planning Analyst position is responsible for performing financial administration and analysis functions integral to supporting the budgeting, planning, control and evaluation of marketing expenditures for Columbia Records Group.
Responsibilities
• Assist in analyzing the efficiency of label media & promotion spend to support decision making and identifying best practices aimed at maximizing the effectiveness of marketing investments; Undertake “deep-dive” analysis into specific areas of spend (e.g., DJ/gratis, promotional items, package design, advertising, etc.)
• Create projects in the Marketing Planning System (“MPS”) and input planned expenditure amounts in accordance with approved budgets for all phases for current releases; Facilitate budget transfers between artists/projects as necessary with appropriate prior financial approval
• Monitor actual marketing spend versus planned amounts during each phase for each project to proactively identify and help mitigate budget overages in a timely manner
• Liaise with label staff across departments (e.g., Marketing, Promotion, Publicity, etc.) and their coordinators/assistants as appropriate to ensure timely creation of purchase orders (“PO’s”) in the Paperless Requisition System (“PRS”) relative to when marketing financial commitments to 3rd party vendors are made; Reconcile failed PO items and resolve as necessary through budget adjustments and/or editing of PO’s for final financial approval
• Act as liaison between Accounts Payable department and label staff in troubleshooting and resolving any issues relating to vendors and processing of payments
• Overall responsibility for coordinating with International Marketing, Touring & Events, artist management, and SME affiliates in regard to budgets for Columbia US artists’ international promo trips, administering payments against those budgets, and recharging costs (where applicable) to international affiliate territories in a timely manner
• Arrange set-up of new vendors in Accounts Payable system as needed for miscellaneous billing requests. Initiate credit PO’s and generate invoices to outside partners/labels pertaining to contractual reimbursements, product placements, sponsorships or licensing/sync fees for certain deals originated at the label level. Monitor receivables status to ensure timely receipt and deposit of amounts due
• Liaise with outside labels in regard to reimbursements due from / owed to them for marketing materials and assets created in connection with artists that are subject to split repertoire owner deals between Columbia and a non-Sony label
• Perform routine financial month-end tasks including review of the PRS Close/Remove report, update monthly marketing summary and preparation of marketing accrual/deferral journal entries
• Projectize DJ/Promo Record costs on a monthly basis and charge against applicable artist marketing budgets
• Interface with Sales department to ensure proper and timely accounting of co-op advertising commitments; monitor actual versus planned spend on a monthly basis
• Support Finance, A&R Administration and Marketing teams in reviewing artist recording agreements for contractual marketing commitments and monitoring compliance therewith
• Research/review artist recording agreements for marketing recoupability terms and maintain/update the SAP Stargate rate table that underlies the posting of recoupable marketing charges to artist royalty accounts
• Prepare monthly vendor report relating to marketing expenditures and review for any unusual vendors/activity or trends in spending
• Reconcile monthly American Express charges to the Marketing Business Travel Account (BTA) and Promotion Business Travel Account (BTA) relating to artist travel in connection with promotional tours/appearances and non-employee travel in connection with radio contests, etc., and initiate payment to American Express
• Reconcile monthly American Express charges to the Touring & Events Corporate Meeting Cards (CMC’s) relating to ticket buys, company meetings, showcases, listening parties and promotional events, etc., and initiate payment to American Express
• Ad hoc special projects and analyses aimed at verifying the adequacy of financial controls surrounding the marketing commitment and spending process, sourcing of vendors, PO creation and invoice processing
Qualifications
• Bachelor’s degree with a concentration in areas such as Business Administration, Economics, Finance, Accounting, Mathematics or related field of study
• Ideal candidate has a minimum of 2 years relevant work experience with working knowledge of budgeting & accounting principles
• Proficient in Microsoft Office suite of applications (Excel, Word, Access, PowerPoint, Outlook) and advanced experience with Excel in particular (e.g., knowledge of pivot tables, lookup formulas, etc.)
• Experience with SAP business software
• Excellent analytical, verbal and written communication and interpersonal skills
• Well organized, detail oriented with ability to work under pressure and meet deadlines while managing multiple concurrent tasks
• Candidate must be comfortable working with large amounts of financial and numerical detail, and able to gather/analyze large data sets from multiple sources
• Must demonstrate initiative and have the ability to work independently as necessary
• Must be self-motivated, set high standards of performance for oneself, strive for distinction in all tasks and exhibit sense of pride in work product
• Passionate music fan and desire to learn about the business is a plus
