The Role:
LIVE NATION LATIN AMERICA is seeking an entry-level Executive Assistant to the President of the division. The ideal candidate would have a strong interest in international live concert promotion and have proficiency in the Spanish and/or Portuguese language. Exceptional computer, Internet, language, telephone and English/grammar skills are a must. This is a hands-on position and an opportunity to work in and learn about the international live music industry.
Responsibilities
• Proactively manages a busy and complex calendar for the President of Live Nation Latin America. Schedules and coordinates meetings or other events as directed by the President.
• Uses sound judgment and carefully ascertains the nature of incoming phone calls, accurately records messages, addresses issues on your own, and transfers calls as necessary. Follows up with callers regarding information requests.
• Proactively manages the workflow of the President of Live Nation Latin America, including meetings, correspondence, and milestones. Helps organize critical work projects. Prioritizes with the President to make sure that all objectives are addressed and handled in a timely manner.
• Communicates with high level contacts inside and outside the company, including booking agents, Artist managers and leading industry professionals.
• Works with other members of internal departments as requested to promote departmental objectives.
• Composes, types, and prepares correspondence, memos, Power Point presentations, confidential materials, etc. of the highest quality.
• Directly coordinates, or coordinates with Travel Department, travel arrangements including flights, hotels, and car services as requested and creates itineraries, including all confirmations and contact information for flights, hotel and transportation. Updates itineraries and checks for new information pertaining to travel. Prepares and updates office travel schedule.
• Coordinates, administrates and tracks show contracts, payments and other paperwork from beginning to end.
• Has affinity for numbers and mathematics. Works on developing, editing and organizing show budgets, including formatting and data entry. Prepares expense reports for assigned executive(s) as requested. Tracks ticket counts for shows on sale. Maintains show calendar, show history report and show files. Researches concerts and market trends in Latin America. Coordinates transmission of information with other users/suppliers.
• Supports the related administrative needs of running an office (ordering office supplies, dealing with office building management, copying, scanning, etc.). Maintains manuals, policy and procedure files, etc. in applicable format.
• Runs errands as requested by assigned executive(s).
Qualifications
• Bachelor’s degree in a related field, or equivalent work experience.
• Experience as an assistant to a high level individual within a fast-paced organization would be a bonus. Ability to speak, write and read Spanish or Portuguese.
• Ability to prioritize and manage a number of simultaneous projects.
• Solid project management and problem-solving skills.
• Ability to be internally inspired to perform a task to the best of one’s ability using his/her own drive or initiative.
• Must be flexible and responsive to evolving and changing business environment.
• Ability to communicate effectively, verbally and in writing with individuals in all levels of the organization, but particularly with members of the highest level of the organization.
• Ability to work independently and thrive in a multi-task, fast-paced environment.
• Excellent organizational skills.
• Excellent attention to detail.
• Ability to maintain confidential information.
• Knowledge and ability to work in Microsoft Excel, Word, PowerPoint and Outlook and the ability to learn other basic computer programs.
