Overview
Manage the contract process from drafting through execution for various HarperCollins Christian Publishing imprints. Responsible for maintaining routine administrative tasks for the department related to organization and filing of publishing agreements and processes.
Responsibilities
Verify supporting financials, draft, negotiate terms as appropriate, and finalize publishing agreements for single and multi-book contracts several publishing imprints. This requires a thorough knowledge and understanding of book publishing contract language and the business and legal repercussions of any changes thereto. Each author agreement has monetary implications and each negotiation decision affects the long-term value of our company’s asset(s) and our company’s contractual obligations.
Prepare contracts for works for hire and third party contributors, and amend agreements as necessary. This requires the same skill set and understanding of the contractual rights and grants as they are in the original publishing agreement to then be able to determine which, if any, section(s) need to be amended to accomplish our purpose. Assist publishers and editors with interpreting contractual language, and ending/terminating contracts when appropriate.
Initiate contract process by assigning contract numbers to new contracts as applicable. Document progression of contract in tracking grids for use by the publishing groups and senior management. Process all executed contracts, including: distribution via email to those in-house who need a copy; originals filed and sent to author/agent; and ingestion of document into the designated digital asset management system. Conduct follow-up activities relative to outstanding issues and/or documentation, up to and through final resolution and/or execution of all documents.
Review external contracts received for review and execution, identify potential issues having a negative impact on the company business affairs and relations.
Additionally:
Serve as backup as necessary to designated teammate(s).
Qualifications
Knowledge:
Knowledge and understanding of book publishing contracts and the business
Work Experience:
Must have at least 4 years’ relevant experience in contracts; ideal target is 5 to 10 years’ experience in a book publishing contracts department
Education:
Must have a college degree (or equivalent certification such as paralegal or legal secretary)
Industry Knowledge:
Understanding of the Christian publishing industry is preferred
Skills:
Proven success managing multiple priorities and a high volume of work in an accurate, timely manner
Ability to look at the big picture when drafting publishing agreements
Detail-oriented, well-organized, and able to function on independent basis
Strong analytical and problem-solving skills
Excellent interpersonal and written and verbal communication skills
Ability to work well under pressure and be flexible
Ability to multi-task, prioritize, and meet responsibilities and deadlines
Microsoft Word, Outlook, Excel, Adobe Professional; DocuShare and MDM (basic database systems)
