Job Title
Editorial Admin Asst, EatingWell (Temp)
Provides administrative support for editors and designers on magazines and other editorial content published by EatingWell. This position is responsible for creating, tracking and processing editorial and art contracts and payments; tracking and reconciliation of manuscript and art costs; ensuring accurate content rights on material; Meredith Media Cloud documentation; maintaining the cookbook library.
On an internal basis, this position is the departmental liaison with other departments within the company; on an external basis, this position ensures prompt, courteous service and information to our consumers.
This position is a long-term temporary position, with a schedule of 25 hrs/week.
Essential Job Functions
30%: Support the editors and designers of EatingWell as follows: create and update Meredith Media Cloud records, process incoming and outgoing mail, process expense reports and coordinate travel.
30%: Ensure outside vendors meet corporate compliance regulations. Process payments to vendors and independent contractors using the contract database. Maintain appropriate files and records of manuscripts, contracts and releases.
20%: Prepare charge-offs for magazine issues by the issue deadlines. This includes verifying photography information and compiling a list of all source information and costs for photography, illustrations and manuscripts.
20%: Research and respond to consumer correspondence. Perform special projects and assignments as requested by editors and designers. Perform miscellaneous administrative duties.
Minimum Qualifications and Job Requirements

Education:
Bachelor’s degree, preferably in journalism or related field or equivalent training and/or experience.
Experience:
Administrative experience in a creative, fast-paced environment (such as magazine or publishing job or internship) preferred.
Specific Knowledge, Skills and Abilities:
Excellent written and verbal communication skills.
Ability to prioritize, work under pressure and meet deadlines.
Ability to manage multiple projects simultaneously.
Ability to interact responsibly and kindly with co-workers, readers and experts.
Knowledge of computer software for common business applications (Word, Excel and Macintosh experience required; FileMaker Pro and digital asset management experience a plus). Proficiency with InDesign/InCopy helpful.
Knowledge of basic office procedures required; basic accounting and business English a plus.
Computer keyboard skills, excellent communication and phone skills, proficient at writing letters and memos, ability to respond to questions or problems in a concise and courteous manner.
