The Role:
The Marketing Solutions Administrative Assistant will provide a full range of administrative support to our creative department in a fun and demanding environment, including scheduling meetings, maintaining calendars, making travel arrangements, processing expense reports and assisting with special projects.
Responsibilities:
• Calendar management for multiple executives
• Prioritize conflicting needs; handles matters expeditiously, proactively, and with the appropriate follow-through on projects to successful completion while meeting tight deadlines
• Organize and distribute weekly status reports and monthly team shout outs
• Run business errands
• Ensure that multiple expense reports are processed correctly and in a timely manner
• Anticipate needs and be proactive with solutions
• Supports related administrative needs and ad hoc projects
• Manages meeting and event logistics including booking and preparing rooms, creating materials, organizing catering and taking notes
• Coordinate all domestic and international travel logistics including flight itineraries, hotel rates and reservations, car services, with personal travel preferences
Qualifications:
• Bachelor’s Degree required
• 1-2 years’ experience working in an administrative role for a department with a robust workload
• Must be able to efficiently support multiple executives
• Has a clear understanding of the players in the entertainment world
• Able to work flexible and long hours including late nights, and sometimes weekends
• Must have an impeccable attention to detail
• A quick-thinker and an adept problem-solver
• Able to work in highly demanding environment while being able to handle varying personalities and work styles with grace and tact
• Must have a high-level proficiency in Outlook, Microsoft Office Suite, Google Sheets and Keynote
• Experience using Concur expense and travel system is a plus
• Strong written and oral communication skills
• The ability to independently, manage one’s time and prioritize multiple tasks to meet associated deadlines
• The drive to take initiative, work independently and be accountable while also working as a team player who is collaborative, positive and flexible
