The Role:
The Event Coordinator is responsible for execution, servicing and detailing of assigned events once booked by the Special Events Department for all Northern California Live Nation venues. They are to ensure a smooth and efficient process of an event from the SEO to the actual operation of the function. This position works closely with the Special Events Team in contract negotiations and servicing groups while being a liaison between Special Events and Operations team.
Responsibilities:
Essential Functions
• Coordinate & advance all aspects of operational set-up and break down of events (equipment needs, rental needs, and station set-up)
• Assists with preparing Production department all aspects needed for an event
• Liaison between client and Live Nation Team Members throughout Event.
• Verbally communicate in a calm, positive demeanor, during the course of the function with the operations, production and catering departments.
• Must maintain a neat, clean and well-groomed appearance (specific LN standard)
• Conduct Event Pre-Shift with Operations Managers and communicate event specifics at Team Member Pre-Shift
• Assures seamless transition for Client from Sales Department to Operations Manager during Event
• Handle all aspects of the Special Event once the special event order (SEO) has been distributed
• Maintain files in proper order after the special event order has been distributed.
• Client interaction; conducts site inspections and walk through with clients as requested by SM / DOS
• Assist Sales Manager(s) as requested with special needs by the client
• Host site inspections, maintain strong customer relationships.
• Responsible for execution, servicing and detailing of assigned events once booked by the Special Events Department.
• Work with the Special Events Department to ensure that all files are prepared and maintained for each group. This includes appropriate labeling, call reports and all pertinent information.
• Work with all departments necessary to execute the event (Operations, Production, Catering, etc.)
• Attend meetings such as Operations Meetings and Production Meetings, and all necessary other meetings
• Due to the nature of the hospitality industry; you may be required to work varying schedules to reflect the business needs of the venue.
Accounting Functions
• Proper execution and completion of all post event paperwork
• Responsible for proper settlement or payment on night of event with client and entering billing information into Caterease to generate a final guest check
• Process all deposits and payments in a timely manner
• Track status of payments made for all events with Special Event Department
• Manage staff hours to ensure we are not exceeding our budget
• Follow up on all accounts receivable and provide monthly update to Director of Sales and Business Manager.
Staff Functions
• Maintain supply of assembled sales kits and collateral materials
• Update sales kit inserts and menus as needed.
• Special projects as assigned by Director of Sales
On-Site Event Management
• With guidance from the Director of Sales, Sales Manager(s), General Manager and/or Operations Manager, be responsible for interaction with the client throughout the event.
• Responsible for assigning staff to specific event areas.
• Ensures that all departments have event advance sheet before the event
• Assist the staff with the execution of events according to the event order and LN standards.
• Work with Director of Sales and Sales Manager(s), to produce weekly summary for all events – includes number of team members and their time to be scheduled and verify staffing was handled by Operations Managers.
Inventory Functions
• Maintain inventory list of all venue furniture & equipment.
• Order equipment, maintain inventory / par levels & report deficiencies to DOS
Specific Job Knowledge, Skill and Ability
• Knowledge of food and beverage preparations, service standards, guest relations and etiquette
• Basic Mathematical skills
Working Environment / Physical Activities
• Physical activities include walking, talking, seeing, hearing, pushing, balancing, stooping, crouching, kneeling, handling. Must be able to grasp and hold very small objects
• Ability to walk and stand for long period of time
• Ability to lift and carry objects up to 35 pounds
• Ability to work in a very fast paced environment with considerable noise and interruptions. Must be able to change activity frequently.

Qualifications
Required:
• High School Diploma
• Working knowledge of Excel, Word and Windows programs
• Ability to handle multiple priorities
• Communication skills, both verbal and written.
Preferred:
• College Degree
