Editorial Assistant, Traditional Home
I. Job Summary | Major goals and objectives.
Oversee the magazine’s day-to-day office operations and ensure the department runs smoothly. Provide administrative assistance to editor in chief, executive editor, and Traditional Home department personnel.
II. Essential Job Functions

35% Oversee the magazine’s day-to-day office operations, including the review, processing, and reporting of invoices and purchases to ensure that Strategic Sourcing guidelines are met, that all paperwork is complete, and timely payments are made. Monitor timely receipt of manuscripts and resources from field editors; assist with Resource editing.
15% Assist the editor in chief: answer phone, handle correspondence and scheduling, make travel arrangements, handle expense reports, and act as a departmental troubleshooter.
15% Track and monitor departmental expenditures, including travel expenses, office supplies, communications, and shipping. Review monthly departmental reports to ensure that expenses have been charged to the appropriate accounts. Develop reports for use in departmental forecasting and budgeting.
20% Responsible for the charge-off for each issue of the magazine, including processing budget figures and balancing to the TH database, researching and correcting discrepancies between databases and Oracle projects, sending comp copies, and maintaining the issue files.
10% Update and maintain inventory and other departmental databases, including scouting submissions.
5% Maintain familiarity with photography processing responsibilities and working with the Meredith Cloud in order to serve as backup to the photography coordinator. Complete special projects as assigned.

III. Minimum Qualifications and Job Requirements | All must be met to be considered.
Education:
Business school or associate of arts (two-year) college degree preferred.
Experience:
Minimum 4 years of office experience or combination of administrative and business school, with a minimum of 2 years Meredith experience preferred.
Specific Knowledge, Skills and Abilities:
Knowledge of accounting structure, manuscript and photo payment procedures, computer and office management. Proficient with Microsoft Office software systems and applications as they relate to office management (Word, Excel, FileMaker Pro, Oracle). Meredith Cloud system preferred. Must be able to handle purchasing, vouchers, payments, and other aspects of Art and Editorial business office functions. Superior communication skills. Must have ability to provide leadership for staff members without direct supervisory authority. Must be professional in working with all levels of personnel and is expected to maintain confidentiality while supporting the EIC and Sr managers. Must be an intuitive troubleshooter and a problem solver.
